Eye clinics · Follow up systems

Call the parent whose child's glasses are a year old and the senior who skipped the yearly check.

Follow-up for an eye clinic means a routine for the patients who leave with advice and then drift: the return check, the child's next test, the prescription never filled and the patient sent for surgery. GullySales builds the recall list, the words for each call and the record of who came back.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For eye clinics

Where it usually goes wrong, and what we would do.

  • “The prescription is handed over and forgotten”

The patient takes the slip home. The glasses may never be ordered, or are made at a shop that never sees the doctor's note.

  • “A child's prescription goes out of date unnoticed”

Children's eyes change, and glasses that fitted last year may not fit now. No one rings, because the clinic keeps no list of children due.

  • “Lens wearers return only when something hurts”

A contact lens patient is meant to come back for a review. Without a reminder the visit happens when the eye is red, not when the fit needs checking.

What we do

What we deliver for eye clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A recall list built from your visits

Each patient with the date the doctor set for the next visit, entered at the desk and read by one named person.

Result: You know who is due before they remember themselves.

  2. Words for each situation

Short scripts for the unfilled prescription, the child's recall, the senior who skipped, the lens review and the referral, in the languages your desk speaks.

Result: Any staff member can make the call the same way.

  3. A prescription follow-up with the optical counter

A routine in which the counter checks whether the glasses were ordered and offers to place the order.

Result: A prescription becomes glasses bought with the clinic.

  4. A children's recall by school year

A list of children due before the school year starts, with parents' consent for reminders recorded.

Result: A child's glasses are checked before the class notices.

  5. A follow-up for patients sent for surgery

A call after the hospital date to ask whether the patient went, and an offer of a follow-up visit at the clinic.

Result: A referred patient does not fall out of care.

  6. Outcome and reason recorded for every call

Each call closed as booked, thinking or declined, with the reason written down.

Result: You can see why patients did not return.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Who calls whom, and what to say, in the situations an eye clinic meets most.

Prescription given, glasses not ordered
The optical counter or the desk calls the patient a few days later, asks whether the glasses are ordered and offers to place the order. Record the answer and who called.
Child's yearly check is due
Reception rings the parent a few weeks before the date the doctor set, in the family's language, and offers a time that suits school hours. Note the answer and the next date.
Senior who skipped the yearly check
Call the son or daughter on file, with consent, and offer a morning slot. Keep the call short, and do not mention the eye condition on the phone.
Contact lens review due
Message the wearer, if they agreed, a few days before the review. Say it is a lens review, offer two times and note whether the wearer came.
Referred for cataract or retina care
Call after the date the hospital gave and ask whether the patient went. Offer a follow-up visit at the clinic and, with consent, ask the hospital for a note.
Said no, or asked to be left alone
Record the reason, thank them and stop. Take the number off reminder lists the same day. A patient left in peace comes back when the glasses break.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for eye clinics

  1. 1

    Listen to how patients return

The free audit call traces how patients arrive and how many return, and what happens after the first visit.

  2. 2

    Build a recall list

A simple record and a consented reminder.

  3. 3

    Connect the optical counter

A routine from prescription to glasses.

  4. 4

    Keep referred patients

A follow-up for patients sent for surgery.

  5. 5

    Report on visits, not activity

A report on recall visits and reviews against the baseline taken before anything changed.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will reminders annoy our patients?
Not if the patient agreed to them, they arrive for a reason and they stop when asked. A reminder for a child's check or a lens review is useful. Say who is calling and why, and let people choose the channel and the language.
Who owns recall, the doctor or the receptionist?
The receptionist owns the list and the calls. The doctor sets the date for each patient at the end of the visit, because only the doctor knows the interval. A recall with no date from the doctor is a guess.
Can recall go on WhatsApp instead of a phone call?
Yes, for patients who agreed to messages. Use a template with the clinic's name and the date, and leave out the condition. For a child, message the parent. Call anyone who does not reply and was told to return for a reason.
When do we stop chasing a patient who keeps postponing?
After three attempts on different days, with a note of what the patient said. Then stop, keep the record and leave the door open. A patient who feels hunted does not come back, and a clinic's goodwill is worth more than one visit.
Can we advertise offers on glasses and check-ups?
Rules on health advertising differ and change, and discounts on medical services may be restricted. Optical retail is treated differently from the doctor's practice. We keep the two separate and your adviser confirms what each may say.
Can we publish patient testimonials?
Medical council rules restrict testimonials for doctors, and the position differs and changes. Reviews on a listing are written by patients themselves and are different, but your adviser should confirm how to ask for them.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
