Eye clinics · Reputation management

Answer the review about new glasses that give a headache before the next family reads it.

Reputation management for an eye clinic is replying to the reviews on Google and Justdial and tracing each complaint to the consulting room, the waiting time or the optical counter. GullySales writes the replies and the privacy limits for them, and sends each complaint to the person who can fix it.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

Last updated 6 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For eye clinics

Where it usually goes wrong, and what we would do.

  • “The optical counter's complaint lands on the doctor”

A frame that broke and lenses that arrived late are reviews of the shop, but they hang under the clinic's name. A reply needs to know which of the two it was.

  • “New glasses can feel wrong at first”

A patient who finds the new glasses hard to wear blames the prescription. A reply that dismisses it loses the patient, and one that offers a recheck keeps the family.

  • “A child who cried becomes a parent's review”

A frightened child, a drop in the eye and a crowded room produce a review about the doctor's manner. The reply has to listen, and the fix is how children are handled.

What we do

What we deliver for eye clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Reply wording for the reviews a clinic gets

Short approved replies for waiting, glasses that do not suit, a frame or lens complaint, a child's visit and a doctor's manner, none naming a diagnosis.

Result: Reception can answer a review without exposing a patient.

  2. Clinic and optical complaints kept apart

Each review tagged to the consulting room or the optical counter, so it is read by the person who can act on it.

Result: A shop problem reaches the shop.

  3. A recheck route for glasses that do not suit

A plain way to book a recheck of the prescription and the fitting, written as the clinic's own policy.

Result: A patient with a complaint has somewhere to go besides a review.

  4. A privacy line for public replies

A written rule, agreed with your adviser, on what a reply never confirms: the power, the diagnosis, the treatment or that the writer was a patient.

Result: A public reply never tells strangers who was a patient.

  5. Fixes drawn from repeat complaints

The complaints that keep returning, such as the wait or late frames, listed with the change agreed and who owns it.

Result: The cause is fixed and not only answered.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

How an eye clinic replies to the reviews it gets most, and what to fix behind each one.

New glasses do not suit
Thank them and invite a recheck by phone. Do not dispute the prescription in public. Inside, check the fitting and whether the doctor and the optical counter compared notes.
Long wait before the doctor
Apologise without excuses and say what changed, such as appointment slots. Inside, look at how walk-ins and booked patients are ordered and how long drops take before the doctor sees the patient.
Frame, lens or delivery complaint
Say it has gone to the optical counter and give a number. Inside, compare the date promised with the lab's actual delivery, and tell the customer if it changes.
A child cried or the parent felt rushed
Thank the parent for the feedback and keep the child out of the reply. Inside, review how young patients are greeted and how much time the explanation gets.
The doctor's manner
Reply in a line, offer a call and leave the doctor's name out. Inside, the doctor reads the review in private and decides whether to speak to the family.
A review that looks false or from a rival
Reply once, politely, saying you cannot find the visit and asking them to call. Flag it to the platform. Whether it comes down is for the platform to decide, so promise nobody a removal.

Who it is for

This is written for these eye clinics.

  • Single-doctor eye clinics
  • Eye clinics with an attached optical shop
  • Eye clinics that handle contact lens and dry eye care
  • Clinics with a paediatric eye focus
  • Clinics that refer cataract and retina cases
  • Small group practices of two or three eye doctors

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for eye clinics

  1. 1

    Listen to how patients return

The free audit call traces how patients arrive and how many return, and what happens after the first visit.

  2. 2

    Build a recall list

A simple record and a consented reminder.

  3. 3

    Connect the optical counter

A routine from prescription to glasses.

  4. 4

    Keep referred patients

A follow-up for patients sent for surgery.

  5. 5

    Report on visits, not activity

A report on recall visits and reviews against the baseline taken before anything changed.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

A patient wrote that the new glasses are wrong. Can we reply with the prescription details?
No. Never put the power, the diagnosis or the visit in a public reply. Apologise, say a recheck is available and give the number. Details belong on the phone or in the room, where the patient's records stay protected.
Reviews arrive in Kannada and English. Which should we reply in?
The language the reviewer used, if a staff member writes it well. A short reply in their own language reads as a person. The same limits apply: no diagnosis, no treatment details and no confirmation that the writer was a patient.
Can we ask an unhappy patient to change or delete the review?
You can say you are sorry and ask them to call so the problem is solved. Do not ask them to remove the review, and never offer anything for doing so. If they update it themselves after the fix, that is their choice.
A review attacks our doctor by name. What do we do?
Reply briefly and politely without the name, offer a call and keep clinical detail out. Tell the doctor privately, and let the doctor decide on any contact. If the review is abusive or false, report it to the platform with the reason.
Can we advertise offers on glasses and check-ups?
Rules on health advertising differ and change, and discounts on medical services may be restricted. Optical retail is treated differently from the doctor's practice. We keep the two separate and your adviser confirms what each may say.
Can we publish patient testimonials?
Medical council rules restrict testimonials for doctors, and the position differs and changes. Reviews on a listing are written by patients themselves and are different, but your adviser should confirm how to ask for them.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
