Hospitals · Sales coaching

Coach the front desk and the TPA desk on the calls they actually handle.

Sales coaching for a hospital works on the real conversations the front desk and the insurance desk have every day, such as explaining a package cost or a TPA delay. GullySales reviews recorded calls and coaches on the specific moments where enquiries are lost.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales coaching means

Sales coaching is ongoing, one-to-one feedback on a specific salesperson's calls and deals. It differs from training because it continues after the session and is aimed at one person at a time. GullySales listens to real calls and reviews live deals to coach on what actually happened, not a hypothetical.

For hospitals

Where it usually goes wrong, and what we would do.

  • “The package cost conversation is the one lost most”

Staff who read out a number without explaining what it includes lose the family to a hospital that explained it better.

  • “The TPA desk needs its own coaching”

Explaining a cashless approval delay calmly, with a clear next step, keeps an anxious family from cancelling.

  • “Coaching works from real calls, not a script read in a room”

A recording of a lost enquiry from last month teaches more than a standard course.

What we do

What we deliver for hospitals.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Recorded call review sessions

A review of recorded front desk and TPA desk calls, coaching on the specific moments where an enquiry was actually lost.

Result: Staff improve on the real conversation, not a hypothetical one.

  2. Package cost explanation coaching

Practice explaining what a package cost actually includes, since staff who only read out a number lose families to a clearer explanation elsewhere.

Result: A family understands the cost instead of hearing a bare number.

  3. TPA delay conversation coaching

Practice explaining a cashless approval delay calmly, with a clear next step, so an anxious family is not left guessing.

Result: A delay is explained instead of causing a cancelled admission.

  4. Coaching on recent calls

A session built from the hospital's own recorded enquiries, so coaching starts from what actually happened.

Result: Coaching stays grounded in what actually happened, not a generic script.

How the result is measured

  • Individual conversion rate
  • Coaching sessions completed
  • Improvement against personal baseline

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to coach at the desk

Coach the front desk and the TPA desk on these six moments in a patient call.

Play back a call from the night line and one from the TPA desk. Find where the family's tone changed.

The opening call
Check that staff ask who the patient is, the problem and the department needed. An emergency goes to casualty at once, and staff never give a clinical opinion over the phone.
The package cost
Coach staff to say what the package includes, such as room category, surgeon and anaesthetist fees and consumables, what is billed separately and that the estimate is not the final bill.
The cashless delay
When a pre-authorisation is pending, coach calm wording that names the stage, the person chasing the insurer and the next time the family will hear from the desk.
The second opinion
A family may say they will consult another hospital. Coach staff to offer the doctor's OPD slot and records, and not to criticise the other hospital.
The OPD to admission gap
Check that when a doctor advises admission and the family leaves, the desk logs the department, the advised procedure and the callback date in the register.
The referral source
Coach staff to ask how the family found the hospital and to log the answer in the call register, by department, since owners need it to see where patients come from.

Who it is for

This is written for these hospitals.

  • Multi-speciality hospitals
  • Single-speciality hospitals, maternity, orthopaedic or eye
  • Nursing homes
  • Day-care surgery centres
  • Corporate hospital chains with several branches
  • Diagnostic-centre-led hospitals
  • Hospitals attached to medical colleges
  • Government-empanelled private hospitals

Not for

It is not the right fit if.

  • You have no recorded calls or written enquiries to coach from, so the sessions would rely on made-up examples.
  • The desk staff fear the coaching will be used to find fault, and no one has told them its purpose.
  • The desk is short of hands during the day, and coaching would only add a task to people who cannot take the call.

How it works

How the sales coaching work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Listen first

We review recent recorded calls, call notes and deal outcomes for each rep. Where calls are not recorded, we agree with you how they will be, and tell the rep.

  2. 2

    Set the plan

Each rep gets one or two behaviours to work on, written down and shared with their manager.

  3. 3

    Coach on real material

Sessions play back a specific call or deal, ask the rep to say what they would change, then rehearse it.

  4. 4

    Check the next calls

We listen to the calls that follow to see whether the behaviour changed, and say so plainly if it did not.

  5. 5

    Adjust the plan

Focus areas move on when a behaviour has become routine or when a new gap shows up.

Proof

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Who needs sales coaching in a hospital?
The front desk and the TPA desk, since each handles a point where a family can be lost.
How often should coaching happen?
On a schedule agreed in writing, reviewed against the enquiries recorded in the period.
Can we record front desk and TPA desk calls for coaching?
These calls carry health and insurance details, so announce the recording at the start, keep it private to those who coach, and check with your compliance head and a legal adviser on patient data rules. Start with a few calls from each desk.
How do we include the night shift desk staff who are never at the day sessions?
Run a short session at the shift handover and use calls from their own shift. Night staff handle the most anxious callers and often have no senior person around, so a one-page guide on what to say and who to wake helps.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
