Hospitals · Sales management
Manage the front desk and the TPA desk against enquiry numbers, not a feeling.
Sales management for a hospital means running the front desk and the TPA desk against a weekly record of enquiries received, answered and converted by department. GullySales sets up this record and reviews it with the administrator so decisions rest on what actually happened last week.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales management means
Sales management is the ongoing work of reviewing a sales team's pipeline, calls and targets, and stepping in on deals that are stuck. GullySales sets the review rhythm and the reports a sales manager needs to run this without relying on gut feel.

For hospitals
Where it usually goes wrong, and what we would do.
“Each department needs its own weekly number”
Maternity and diagnostic enquiries behave differently, and combining them into one total hides where the real problem sits.
“Count the calls the front desk missed, by hour”
A week's count split by the hour shows whether the evening shift is short-staffed or the phone is simply being left to ring.
“The TPA desk needs its own conversion tracking”
How many cashless approvals were requested against how many admissions followed shows whether the desk is a bottleneck.
What we do
What we deliver for hospitals.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
A weekly enquiry record by department
A weekly record of enquiries received, answered and converted, broken out by department instead of one combined total.
Result: The real problem department is visible instead of hidden inside a total.
A tracked missed call count
A count of calls that went unanswered, turning a vague complaint into a specific, fixable number.
Result: Missed calls become a tracked problem instead of an assumption.
TPA desk conversion tracking
A record of how many cashless approvals were requested against how many admissions followed, showing whether the desk is a bottleneck.
Result: A slow TPA desk gets noticed instead of blamed on the family.
A review with the administrator
A short, recurring review of these records with the administrator, so decisions rest on the numbers, not a feeling.
Result: Decisions are made on what actually happened, not on memory.
How the result is measured
- Target achievement
- Pipeline coverage
- Stuck deals resolved
Recorded as a baseline before work starts, so every later report has an honest comparison.
What the administrator reviews
Read these six things in the hospital system and call log before the department heads meet.
- Enquiries by department
- Check the call centre or front desk log by department, such as maternity, orthopaedics, cardiology or diagnostics. A department with many enquiries and few admissions needs a look at what callers were told.
- Calls missed by hour
- Pull the missed call list from the hospital's phone system and sort it by hour. Misses clustered at night point to a staffing gap at the help desk, not a marketing problem.
- OPD patients advised admission
- Compare OPD patients advised surgery or admission with the admissions that followed. Where many did not admit, ask the department coordinator to find out whether cost, the TPA or a second opinion was the reason.
- Cashless approvals pending
- List cashless requests waiting at the TPA desk and how long each has waited. A family left without an update takes the patient elsewhere, so give each pending file a named person who calls the family.
- Referrals by doctor and lab
- Read referrals by GP, clinic and diagnostic lab. When a regular referrer's patients drop, the PRO should visit and ask whether a report or a discharge summary failed to reach them.
- Health check package enquiries
- Check enquiries for health check packages and corporate tie-ups against bookings. A package quote with no follow-up is easily lost to the diagnostic centre across the road.
Who it is for
This is written for these hospitals.
- Multi-speciality hospitals
- Single-speciality hospitals, maternity, orthopaedic or eye
- Nursing homes
- Day-care surgery centres
- Corporate hospital chains with several branches
- Diagnostic-centre-led hospitals
- Hospitals attached to medical colleges
- Government-empanelled private hospitals
Not for
It is not the right fit if.
- Enquiries are still taken on loose paper and personal phones, so there is no count for a manager to review.
- No department head will attend a review, and the numbers would be read by someone with no power to act on them.
- You want the manager to set targets by copying other hospitals, which gives the desk a figure that has no link to your own capacity.
How it works
How the sales management work runs
The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.
- 1
Look at what exists
We ask for the last few weeks of calendars, pipeline records and review notes, and find where the routine breaks.
- 2
Write the routine down
Slots, agendas, attendees and the records each meeting uses are agreed in writing before the first one.
- 3
Clean the pipeline first
Stage definitions are fixed and stale deals removed, so the first review is about real deals.
- 4
Run or coach
We lead the meetings, or sit in while your manager leads and give feedback afterwards.
- 5
Deal with problems as they appear
A slipping number is discussed at the next one-on-one with notes, not stored up for an appraisal.
- 6
Hand over
Your manager or owner takes the routine, with the templates and records, and we step back.
Proof
What happened when owners fixed this.
Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.
Chord Road Hospital
- Situation
- Patients who knew the hospital trusted it. Patients who searched for a department or a treatment in the area did not find it.
- What we did
- Website rebuilt around patient needs
- Search visibility
- Social media on a schedule
- Review management
- Result
- Organic traffic increased 60% within six months
- Online appointment bookings increased 40%
- Social following grew 45%, and engagement on it rose 70%
Nanda Arthritis and Rheumatology Center
- Situation
- There was no website, so a patient looking for a rheumatologist had no way to learn about the centre. Enquiries were few, and the ones that arrived came by word of mouth.
- What we did
- A website for patients
- Search work
- Google Business and reviews
- Lead capture and advertising
- Result
- No numbers were recorded for this engagement. The work is described in full in the case study.

Where this fits
Three pieces of sales work, in this order.
This work sits inside sales management. A target, a review routine and someone who owns the number.
Step 1
Sales audit
Find where deals are being lost and what to fix first.
Start here if you cannot say where orders are lost.
Step 2
Sales process design
One written way to sell, from first enquiry to repeat order.
Start here if every salesperson sells differently.
Step 3 · you are here
Sales management
A target, a review routine and someone who owns the number.
Start here if the team has targets and no routine.
