Your work is booked for a date and a venue someone else fixed, so the quote must fit both.

You are not the person who chose the date or the hall. An event manager, planner, college, caterer or family has fixed both, and then asks you for a price. The request arrives as a Pinterest picture, a screen size, a list of quantities or a line asking if you are free that Saturday, and the buyer is already speaking to other suppliers.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Realistic editorial illustration of event management companies at work in India

In one paragraph

Event décor, stage decoration, sound and lighting, LED walls and event equipment are supplied to an event someone else is running. GullySales looks at how a picture or a gear list becomes a costed quote, how your work is shown, and how repeat bookers are kept.

The work is physical, so a quote depends on things the buyer may not mention: the hall measurements, the load-in time, the power available and the date's competing bookings. Stock and crew are limited, which makes a few weekends overload you and the rest sit idle. The buyers who book you repeatedly are your best source of work and go unrecorded.

5 kinds of business

Each kind of business in event décor & equipment sells a little differently.

Open the page closest to yours for how its buyers choose and what we would fix first.

Event décor companies

A Pinterest picture arrives on WhatsApp and needs a costed design in answer. The look of the last mandap or stage gets the shortlisting, and portfolio pages and a follow-up record sit behind the first reply.

Stage decoration companies

Event managers, schools and associations order against a hall's load-in date. A quote cannot be sound without the venue details, so hall measurements and a drawn layout come before the advance.

Sound and lighting rental companies

Event managers, DJs, colleges and families book on a gear list and a stock check for the date. Package pages, an availability sheet and a clear quote layout replace explaining the same packages on the phone.

LED wall rental companies

Buyers ask for a rate before they give a size. A screen guide that explains pixel pitch and panel size in plain words turns a vague request into a panel layout and a booking.

Event equipment rental companies

An order is a list of quantities, a delivery slot and a return. Caterers, planners and families search nearby, so what they find is catalogue pages and a rate sheet, with a booking record that counts the items back in.

What they share

What usually goes wrong across event décor & equipment.

Whichever of these you run, you will probably recognise most of them.

  • “The enquiry is a picture, a size or a list, and the buyer wants a rate”

A mandap photo, a stage reference, a request for an LED screen, a gear list or a quantity of chairs arrives with no detail. We either quote blind or spend an hour on a call that goes nowhere.

  • “We cannot quote soundly without the venue details”

Hall dimensions, ceiling height, load-in time, access, power and the event layout change what we send. A quote given without them has to be changed on site, at our cost or in an argument.

  • “A few weekends take all the enquiries and the crew”

Peak dates fill the stock and the team at once, and enquiries for the same date arrive together. Weekdays and the off-season stay quiet, and we call no one to fill them.

  • “What we supply is hard to see before the date”

Our best work sits on one phone, and a buyer cannot see how a set looks lit, how a rig sounds, how a screen reads or how a tent goes up. A buyer chooses between suppliers they can compare and the rest are not considered.

  • “Our quote is read as a number”

Buyers compare the total in rupees, or the rate per square foot, and not the stock, the crew, the setup and the removal in it. The cheaper figure wins before anyone asks what is included.

  • “Repeat bookers are not recorded”

Event managers, caterers, colleges and families who booked us last season are not listed with what they hired and when. They hear from us only if they call first.

Where to start

What to fix first in event décor & equipment.

In the order we would look at them. Your own enquiry records may change the order, and we would say so.

  • Write a short enquiry form or message that asks for the date, venue, size or quantities and a reference picture, and use it for every call so the quote starts from facts.
  • Prepare a venue-details sheet covering hall measurements, load-in time, access and power, and ask for it before a quote becomes final.
  • Build pages for each kind of work, with real photographs from events you have supplied, a plain explanation of the terms the buyer must understand and the packages you offer.
  • Keep an availability record for your stock and crew by date, so you can answer a Saturday question in minutes and not from memory.
  • Set out each quote line by line, with what is supplied, who sets up, who removes it and what is extra, so it can be compared with other quotes on content.
  • Record each repeat booker with what they hired and when, and write to them before the next peak and in the quiet weeks.

FAQ

Questions about event décor & equipment.

Not here? More answers, or ask on WhatsApp.

How should we answer a picture sent on WhatsApp?
Reply with a short list of what you need to price it: date, venue, size or quantity and the look they want. Then send a costed option. A reply that asks nothing and names a figure is guessing.
What do we need to know about the venue before we quote?
Hall measurements, ceiling height, load-in time, access for vehicles, available power and where the supply is placed. Without them the quote may change on the day, and the change becomes a dispute.
How do we keep from being compared only on price?
Write the quote so that stock, crew, setup, removal and extras are visible. A buyer comparing two totals does not see what is missing from the lower one until you show them what is in yours.
How do we show work that exists only for a night?
Photograph and film your own set-ups at events with the host's permission, and sort them by event type and size. A short film of a rig, a screen or a stage working in a hall answers what a photograph cannot.
What should we do in the weeks between peaks?
Contact the event managers, caterers and colleges who booked you before, with a dated offer for weekday events, smaller set-ups or early bookings. Use the off-season to service and photograph stock so the next peak has fresh material.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on what is being changed and how many of the people who matter see it. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever the work touches, such as your profiles, your website or your accounts, and time with the people who can answer our questions.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
