What to record, and when

What a pathology lab writes down for each enquiry, and what never goes in.

Test or package asked about
Write the test in the patient's own words and the package name. This shows which panels bring calls and which bring samples.
How they found you, and who sent them
Ask every caller and tick one: doctor, Maps, Justdial, WhatsApp, a relative or a camp. Add the doctor's or clinic's name when the patient mentions one.
Home or walk-in, and the slot
Record the type of visit, the slot given and the area. A home booking with no slot written down is the one that gets missed.
Outcome and the reason for a loss
Mark collected, booked, thinking or lost, and write why: price, timing, distance or another lab. After a while the reasons show what to fix.
What never goes in
Keep results, diagnoses and report values out of the CRM. They stay in the lab system. Record the test name and the outcome of the enquiry, nothing about the patient's health.
Do you need software yet?

Can a spreadsheet do this, or do we need to buy a CRM?
A shared sheet is enough while one or two people log enquiries and someone reads the result. Buy software when several desks need the same record, when reminders must go out on their own or when too many people edit the sheet for it to be trusted.
The receptionist says there is no time to fill it during the rush. What do we do?
Cut the form to four fields she can finish in under a minute: test, source, slot and outcome. Fill the rest from the day's notes later. A short record kept up beats a long one left empty. Ask her which field costs most time and drop it.
Patients message the lab on three different numbers. Where do those enquiries go?
Choose one number for bookings and move the others to it, or log each chat on the sheet at the end of every shift. Enquiries left on staff phones belong to the staff member, not the lab. Add WhatsApp as the source.
Who owns the patient contact data if we change vendors or staff leave?

Can we pay doctors who send us patients?

Can we publish test prices?
Prices are what patients compare, and publishing them usually helps. Rules on health advertising differ by state and by who owns the lab. Avoid claims to be the best or the most accurate, and let your adviser confirm the wording.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
