Pathology labs · Follow up systems

Call back the patient who asked for the panel and never came, and the one whose repeat test is due.

Follow-up for a pathology lab means a routine for the people who ring, book or test and do not return: the price call, the missed slot, the report left in the tray and the repeat test a doctor asked for. GullySales builds the list, the script and the record, so no call ends in nothing.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For pathology labs

Where it usually goes wrong, and what we would do.

  • “Nobody took a number from the price caller”

The caller asked what a full body check-up costs and the desk gave a figure. With no name or number taken, the lab never learns whether the caller booked elsewhere.

  • “The printed report waits in the tray”

A walk-in patient pays, gives the sample and does not come back for the report. It sits on the shelf, the doctor waits and the lab has no record of the delay.

  • “Repeat tests go to the nearest lab”

A diabetic's HbA1c or a thyroid patient's TSH is due again when the doctor says. The patient remembers when the tablets run low and books wherever is closest.

What we do

What we deliver for pathology labs.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A callback list built from the price calls

Each caller's name, number, the test asked about and what was said, entered by the desk and read by one named person.

Result: The price call becomes a list of people to ring.

  2. A short script for each situation

Words for the price caller, the missed home slot, the uncollected report, the repeat test and the corporate quote, in the languages your desk speaks.

Result: Any staff member can make the call the same way.

  3. Report pickup reminders

A routine that tells a patient the report is ready and, with consent, tells the doctor's clinic too.

Result: Reports stop gathering dust on the shelf.

  4. Repeat dates recorded at billing

A date set from the doctor's advice when the bill is made, with a reminder sent in the patient's language.

Result: The patient is asked back when the test is due.

  5. A missed home collection routine

A coordinator who calls the family after a missed visit, offers the next slot and records the reason.

Result: A missed slot becomes a booked one.

  6. An outcome and reason for every enquiry

Each enquiry closed as collected, booked, still thinking or lost, with the reason written down.

Result: You can see why callers did not become samples.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Who calls whom, and what to say, in the situations a pathology lab meets most.

Asked the price, did not book
The desk takes a name and number on the call. One person calls back with the preparation and the nearest slot, once the same day, then once more. After that, close it.
Booked a home slot, nobody was at home
The coordinator calls, not the phlebotomist. Offer the next slot and note the reason. A second miss goes to the desk lead, who speaks to the family.
Sample taken, report not collected
Message or call the patient when the report is ready, and the clinic as well if the patient agreed. Record whether the report was sent or collected.
Repeat test due
Fix the date at billing from the doctor's advice and message a few days before it. Keep the message to the appointment and leave out the condition.
Corporate quote sent
The owner or manager calls the HR contact after the quote and asks what the decision rests on: budget, dates or a vendor already in place. Write the answer down.
Said no, or asked to be left alone
Record the reason, thank them and stop. Take the number off every reminder list as soon as you hear it. A patient left in peace comes back when a test is needed.

Who it is for

This is written for these pathology labs.

  • Neighbourhood labs beside clinics and nursing homes
  • Labs inside a hospital or polyclinic
  • Multi-centre pathology chains in one city
  • Collection centres of a larger reference lab
  • Labs that run corporate and school camps
  • Pathology labs with their own radiology corner

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for pathology labs

  1. 1

Listen to how calls are handled

The free audit call traces where price calls and bookings come from, who answers and what happens during the morning rush.

  2. 2

Fix the first minute of the call

One price sheet, agreed answering hours and a log of every enquiry.

  3. 3

Make the lab findable for the test

Test and package pages, a Business Profile with visible prices and reviews asked for after a smooth collection.

  4. 4

Put the lab in front of the clinic

A sheet for each reception desk and a follow-up, built with your own adviser's view on what may be offered.

  5. 5

    Report on samples, not activity

A report on enquiries, collections, corporate quotes and repeat patients against the baseline taken before anything changed.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will patients mind a call after a price enquiry?
Not if the first call asked permission, the second is useful and a third never comes. Say what you are calling about, such as the preparation for the test or the slot they asked for. Someone who says no gets no more calls.
Who should own follow-up, the front desk or the collection team?
One person at the front desk owns the list, because that desk hears the price calls and sees the report tray. The collection team passes on missed visits. If the list is split between two desks, each assumes the other is calling.
Can repeat test reminders go on WhatsApp instead of a call?
Yes, if the patient agreed to reminders and the number is theirs. Send a template with the lab's name and the date, and leave out the test and the condition. Phone anyone whose test a doctor advised and who does not reply.
When do we stop chasing a corporate quote?
When the contact says no, or has not replied after three attempts across two channels, whichever comes first. Add a note and a date to try again after their next budget period. Chasing past that costs you the later conversation.
Can we pay doctors who send us patients?
Commission or fee-sharing with referring doctors is restricted under medical council rules, and the position differs by state and changes. We do not design or manage any such arrangement. We build the legitimate route: a sheet for the clinic, a named contact and a follow-up.
Can we publish test prices?
Prices are what patients compare, and publishing them usually helps. Rules on health advertising differ by state and by who owns the lab. Avoid claims to be the best or the most accurate, and let your adviser confirm the wording.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
