Professional certification institutes · Follow up systems

Call the one who stayed to the end of the demo before the one who never joined.

A follow-up system for a certification institute is the routine that decides who contacts a candidate next, on which channel and with what to say, from the first enquiry to the fee receipt and the first exam booking. GullySales writes the routine, sets the reminders in your record and checks that it is followed.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For professional certification institutes

Where it usually goes wrong, and what we would do.

  • “Candidates decide around exam windows”

A candidate who says next batch is waiting for a registration date the body sets. A follow-up that ignores that date either nags too early or arrives after they have enrolled elsewhere.

  • “The sponsor and the student are two people”

A manager approving reimbursement and the employee who attends need different follow-ups: an invoice and outline for one, a study plan for the other.

  • “Counsellors chase new leads and drop old ones”

Fresh enquiries get the calls while the demo attendees who asked for time get none. They are still buyers for the next batch.

What we do

What we deliver for professional certification institutes.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up rule for every stage

Who contacts, on which channel and with which message, and when to stop, for each stage from new enquiry to first exam booked.

Result: Every candidate has a next step and an owner.

  2. Sequences for demo registrants and attendees

Different messages for those who registered and did not attend, those who attended and left early, and those who stayed to the end with a question in the chat.

Result: Each group hears what fits where it dropped off.

  3. Instalment and joining reminders

Reminders for the next instalment, the joining note, the class link and the study material, written in the institute's own voice.

Result: Payment and joining do not rely on a counsellor's memory.

  4. A next-batch list for people who said later

Candidates who asked for a later batch, recorded with the month they named and the reason, and called before that batch opens.

Result: People who asked for time are not forgotten.

  5. An employer follow-up path

Outline sent, sponsor's sign-off pending, invoice, joining list and a progress sheet for the sponsor, each with an owner.

Result: A corporate batch does not stall in an HR inbox.

  6. A due and overdue list for each counsellor

A list in the enquiry record of calls due and overdue, reviewed by the head of admissions, with a rule for reassigning when a counsellor is away.

Result: Missed follow-ups show up before a candidate is lost.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

What happens next at each point where a candidate can go quiet.

Enquiry not yet answered
The desk returns every missed call and unread message from the institute's number, including those that arrived at night. Record the reply time against the enquiry.
Attended the demo, has not enrolled
The counsellor who took the demo calls with an answer to the question the candidate typed in the chat. Record the doubt, such as fee, timing or the credential itself.
Fee sheet sent
Ask on WhatsApp whether the split between your fee and the body's is clear, and offer a call with a trainer if the doubt is about the syllabus. Note whether the hesitation is money, time or the credential.
I will think about it
Ask what decides it and who else is involved, then send what answers it. Set a call date tied to the registration close of the exam window, and stop after the attempts your office agreed.
Enrolled, class not started
Send the joining note, the class link and the study-material list, and ask whether registration with the body is done. Record any sign of hesitation.
Went quiet after the first paper
The trainer or a mentor rings to ask how the paper went and what is blocking the next one. Record the reason, because it tells you what to fix in the course.

This is written for these professional certification institutes.

  • US CMA, CFA and FRM institutes for finance careers
  • PMP, PRINCE2 and Agile project management trainers
  • Six Sigma and Lean quality certification institutes

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for professional certification institutes

  1. 1

    Audit the last batch

We trace where each enrolment came from, how long the desk took to reply, how many demo attendees paid and how many students booked their first exam, using your fee register and attendance sheets.

  2. 2

Fix the record and the reply

One enquiry record, one fee sheet, saved WhatsApp replies for eligibility, mode and fees, and a named person for the messages that arrive at night.

  3. 3

    Rebuild the certification pages

A page per credential and level with eligibility, fees split between you and the body, batch dates and the credentials your trainers hold.

  4. 4

Bring candidates in ahead of each batch

Search, LinkedIn, webinars and employer outreach set around each credential's batch dates and exam windows, with budget moved towards whichever source brings paid enrolments.

  5. 5

Follow through to the first exam

Every demo attendee followed to a paid fee or a clear no, and every enrolled student tracked to an exam booking, measured against the baseline taken at the start.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many follow-ups should we make before we stop?
Agree a number with your team and write it down, with a last message that leaves the door open and gives the next batch date. Stopping is a decision, not a drift. Record the candidate as a later lead with the batch they named, rather than closing the record.
Will repeated calls annoy a working professional?
Calls in office hours do. Ask at the first conversation which time and channel suit them, record it and follow it. A WhatsApp message with one clear question and a call booked for a time they chose is better received than a call that interrupts a meeting.
Who should own follow-up, the counsellor or the head of admissions?
The counsellor who spoke to the candidate follows up, because the candidate remembers them. The head of admissions watches the overdue list and reassigns when a counsellor is on leave. A shared inbox with no owner is where follow-ups die.
A candidate said they will join the next batch. Do we follow up now?
Record the batch and the reason, then get in touch when that batch's dates are fixed, not before. A message long before the date is noise. In between, send one useful thing, such as a study guide, to keep the thread alive.
Can we put our pass rate on banners and ads?
Only if you can show the basis: the exam session, the number who sat, how a pass is counted and where the record is kept. Certifying bodies and consumer protection rules treat misleading results claims seriously, and both change, so have your partner agreement and a legal adviser check the wording. Leave the figure out if you cannot back it with records.
Can we use the certifying body's logo and call ourselves an authorised partner?
Only as your agreement with the body allows, and only while the status is current. Candidates check the body's partner list, and a wrong claim loses the candidate and may cost you the partnership. Copy the wording of your approval exactly, and ask the body in writing before putting its logo on an advertisement.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
