Professional certification institutes · Reputation management

Let the candidate who reads your worst review find a reply that holds up.

Reputation management for a certification institute is controlling what a candidate finds when they search your name and read the reviews on Google, Quora, Reddit and the portals. GullySales sets up the replies, asks every student for a review within the platforms' rules, and tracks what is said.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

For professional certification institutes

Where it usually goes wrong, and what we would do.

  • “Candidates read Reddit and Quora before your website”

A thread asking whether your institute is worth the fee gets more attention than your brochure. Replies from your own staff posing as students make it worse when they are found out.

  • “Refund and batch-change disputes dominate the reviews”

A merged batch, a changed trainer or a fee disagreement sends unhappy candidates to post, while those who cleared the exam say nothing.

  • “The pass-rate claim becomes the argument”

When a banner says one thing and a former student says another, the review thread turns into a debate about your numbers.

What we do

What we deliver for professional certification institutes.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A review reply guide

How to answer praise, a refund complaint, a trainer complaint and a results claim, written for the desk and the head of faculty to follow.

Result: Replies sound like the institute, not like a template.

  2. A review ask built into the course

A point, such as after a mock test, when every student is asked for an honest review by link or QR, whatever their score, with no pressure and no reward.

Result: The reviews reflect the whole batch, not only the angry few.

  3. Watching Quora, Reddit and forums

A search of your name and credentials on these sites, with a rule on who may reply and a rule against ever replying as a student.

Result: You hear about a thread before a candidate quotes it to the desk.

  4. A published refund and batch-change policy

The terms in plain words, with a named contact, so a reply can point to a page instead of arguing.

Result: A complaint can be answered with the written terms.

  5. A record of review themes

Platform, date, theme and whether you replied, in one sheet, with repeated complaints passed to the head.

Result: A pattern in the reviews becomes a fix inside the institute.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

How to answer each kind of review a certification institute gets, and what to fix inside.

Praise from a student who cleared an exam
Thank them by first name and mention what they praised, such as a trainer or the mock series. Pass it on to the trainer, and do not quote their marks in your reply.
Refund complaint after a withdrawal
Point to where the refund terms are published and invite the student to meet the accounts desk. Post no amounts and no personal details. If the terms are unclear on your own page, fix the page.
The trainer changed or the batch merged
Acknowledge the change, say who teaches now and what was done for the batch, such as extra doubt sessions. A reply that shows action counts for more than the star rating.
I failed despite attending every class
Do not argue. Offer a call with the head of faculty and ask what the paper showed. Keep results claims out of the thread, and check privately whether the batch had a gap.
I was promised a job or a visa
Do not argue. State what the career desk actually offers and invite the student to speak to it. Then check whether a brochure or a counsellor implied a job.
A review that looks planted by a rival
Check it against your student records. If it matches no one and breaks the platform's rules, report it. Never post fake praise in return, never pay for reviews and never promise removal.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for professional certification institutes

  1. 1

    Audit the last batch

We trace where each enrolment came from, how long the desk took to reply, how many demo attendees paid and how many students booked their first exam, using your fee register and attendance sheets.

  2. 2

Fix the record and the reply

One enquiry record, one fee sheet, saved WhatsApp replies for eligibility, mode and fees, and a named person for the messages that arrive at night.

  3. 3

    Rebuild the certification pages

A page per credential and level with eligibility, fees split between you and the body, batch dates and the credentials your trainers hold.

  4. 4

Bring candidates in ahead of each batch

Search, LinkedIn, webinars and employer outreach set around each credential's batch dates and exam windows, with budget moved towards whichever source brings paid enrolments.

  5. 5

Follow through to the first exam

Every demo attendee followed to a paid fee or a clear no, and every enrolled student tracked to an exam booking, measured against the baseline taken at the start.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we ask only the students who passed for a review?
No. Ask every student at the same point in the course, whatever their result. Choosing only the happy ones is gating, it breaks the review platforms' rules, and it makes the page read as too good to believe.
Should we reply in Kannada or Hindi if the review is in that language?
Yes, briefly, in the reviewer's language, with a line in English for other readers. A reply in a language the reviewer did not write in looks like a template.
A review names one of our trainers. What do we do?
Pass praise to the trainer. Take criticism to the head of faculty and speak to the trainer before any public reply, which should not name them and should say the head is looking into it. If the review is about conduct, follow your complaints process.
Can we ask a student to remove a negative review once we have fixed the problem?
You may say the matter is resolved and ask whether they wish to update the review. Offer nothing in return and do not press. A reply under the review saying what was fixed does more than removal would.
Can we put our pass rate on banners and ads?
Only if you can show the basis: the exam session, the number who sat, how a pass is counted and where the record is kept. Certifying bodies and consumer protection rules treat misleading results claims seriously, and both change, so have your partner agreement and a legal adviser check the wording. Leave the figure out if you cannot back it with records.
Can we use the certifying body's logo and call ourselves an authorised partner?
Only as your agreement with the body allows, and only while the status is current. Candidates check the body's partner list, and a wrong claim loses the candidate and may cost you the partnership. Copy the wording of your approval exactly, and ask the body in writing before putting its logo on an advertisement.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
