Professional certification institutes · WhatsApp marketing

Put the batch, the fee and the demo link on WhatsApp, where a candidate already asks.

WhatsApp marketing for a certification institute is using the number candidates already message to answer eligibility and fee questions, send demo links and keep a batch informed. GullySales sets up the business profile, the saved replies and the consent record, and keeps sales messages apart from class notices.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily, which gets read faster than email or SMS. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For professional certification institutes

Where it usually goes wrong, and what we would do.

  • “Candidates message at night and on Sundays”

Working professionals send questions when they get home. A business number with no saved replies and nobody named leaves them waiting until Monday.

  • “Counsellors use their personal numbers”

A counsellor who leaves takes the candidates' chats along, and a parent sees an unknown number. The institute's own number has to hold the conversation.

  • “Class notices and sales messages share a group”

A mock-test link beside a new-batch offer makes enrolled students mute the group, and the group stops being read when it matters.

What we do

What we deliver for professional certification institutes.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A verified business profile in the institute's name

Registered name, address, desk hours, a short description of the credentials taught and a catalogue of courses with the next batch.

Result: A candidate can tell the number belongs to the institute.

  2. Saved replies for the usual questions

Eligibility, fees split between you and the body, batch dates, mode, demo link and refund terms, written for the counsellor to edit rather than paste blind.

Result: The first reply is correct and the counsellor adds the personal part.

  3. A consent record for every candidate

Who agreed to messages, on which number, when and for what, kept with the enquiry.

Result: You can show consent when asked and stop when asked.

  4. Templates for messages you start

Demo reminders, batch-start notices and fee-due messages submitted for approval, after reading WhatsApp's current business rules and pricing.

Result: Reminders go out in a form the platform allows.

  5. Separate sales and class channels

A sales list for prospects who opted in, and groups or channels for enrolled batches, with the rules for each written down.

Result: Study notices are not buried under offers.

  6. WhatsApp enquiries counted by source

Click-to-WhatsApp links coded by ad, page and post, and recorded so you can see which channel's chats become enrolments.

Result: You can tell which chats were worth having.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What an institute needs before it messages candidates and students on WhatsApp.

Opt-in recorded for each candidate
Note who agreed, on which number, for which credential and on what date, from a form tick or a first message. A number bought from a data seller is not consent.
A business profile in the institute's name
Use the registered name, address and desk hours, and list the credentials taught. Candidates check whether the number belongs to the institute or to an agent borrowing its name.
Templates for messages you start
Demo reminders and batch-start notices sent after a quiet spell are business-initiated and need approved templates. Read WhatsApp's current business policy and pricing before planning volumes.
A plain way to stop
Say in the first message how to opt out, and remove anyone who asks. A candidate who chose another institute should not get your fee-due nudges.
A person behind the reply
Name who answers during desk hours and what a candidate is told outside them. A bot can send the fee sheet, but a refund question needs a human.
Documents that should not travel by chat
Take a photograph of a degree certificate for a first check, but keep originals and verification for the registration process and delete the copies you no longer need. Send payment links only from the official number.

Who it is for

This is written for these professional certification institutes.

  • ACCA, CIMA and CPA (US) institutes for commerce graduates
  • US CMA, CFA and FRM institutes for finance careers
  • PMP, PRINCE2 and Agile project management trainers
  • Six Sigma and Lean quality certification institutes

  • HR, supply chain and logistics certification trainers
  • Corporate training providers running in-house batches for employers

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for professional certification institutes

  1. 1

    Audit the last batch

We trace where each enrolment came from, how long the desk took to reply, how many demo attendees paid and how many students booked their first exam, using your fee register and attendance sheets.

  2. 2

Fix the record and the reply

One enquiry record, one fee sheet, saved WhatsApp replies for eligibility, mode and fees, and a named person for the messages that arrive at night.

  3. 3

    Rebuild the certification pages

A page per credential and level with eligibility, fees split between you and the body, batch dates and the credentials your trainers hold.

  4. 4

Bring candidates in ahead of each batch

Search, LinkedIn, webinars and employer outreach set around each credential's batch dates and exam windows, with budget moved towards whichever source brings paid enrolments.

  5. 5

Follow through to the first exam

Every demo attendee followed to a paid fee or a clear no, and every enrolled student tracked to an exam booking, measured against the baseline taken at the start.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we use the WhatsApp Business app or the API?
Start with the Business app while one or two people answer. Move to the API when several counsellors share the number or you need approved templates and a link to your record. The API has its own rules and charges, so read WhatsApp's current business terms and pricing first.
Can we add candidates to a batch group ourselves?
Ask first and let them join by a link they choose. Adding people without asking draws complaints and reports, which can put your number at risk. Keep prospects out of enrolled students' groups.
A counsellor wants to use a personal number for speed. Is that wrong?
Yes. The chats belong to the institute, and when the counsellor leaves they go too. Give each counsellor access to the institute's number through a shared inbox, and keep each candidate's history in the enquiry record.
Is the WhatsApp catalogue worth setting up?
For an institute with several credentials, yes. One catalogue entry per course with the next batch date and a link to the fee page answers the first message. Keep the dates current, because a catalogue showing a batch that began last month looks neglected.
Can we put our pass rate on banners and ads?
Only if you can show the basis: the exam session, the number who sat, how a pass is counted and where the record is kept. Certifying bodies and consumer protection rules treat misleading results claims seriously, and both change, so have your partner agreement and a legal adviser check the wording. Leave the figure out if you cannot back it with records.
Can we use the certifying body's logo and call ourselves an authorised partner?
Only as your agreement with the body allows, and only while the status is current. Candidates check the body's partner list, and a wrong claim loses the candidate and may cost you the partnership. Copy the wording of your approval exactly, and ask the body in writing before putting its logo on an advertisement.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
