Senior living and home care agencies · Email marketing

Six weeks of silence after a tour is a follow-up problem, not a lost sale.

Email for senior living and home care carries the weeks between a tour and a decision, and keeps discharge planners and elder law offices in touch between visits. GullySales writes those sequences, keeps health details out of the inbox, and reports which messages brought somebody back.

A post room: a wall rack of pigeonholes with sorted letters and strapped bundles, a loaded mail trolley wheeled up in front of it, and on the bench a franking machine with one envelope under the press arm, franked and cleared

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For senior living and home care agencies

Where it usually goes wrong, and what we would do.

  • The decision needs a brother in another state

One adult child tours and three siblings decide. An email that forwards cleanly, with the costs and the floor plan attached, does that work for you.

  • A subject line can disclose more than you meant

Naming a diagnosis or a care level puts it on a phone screen at somebody's desk at work. Keep the line plain and keep it general.

  • Referral partners go quiet between visits

A liaison cannot walk every unit every month. A short monthly note about what you can take this week keeps your name on the planner's list.

What we do

What we deliver for senior living and home care agencies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A post-tour sequence written to be forwarded

Messages an adult child can send straight to a sibling, carrying the cost worksheet, the floor plan and respite as a smaller first step.

Result: The brother who never visited still sees the numbers.

  2. A monthly note for planners and elder law offices

What you have space for, what you are admitting this month, and one case you handled, short enough to read between discharges.

Result: Your name arrives in the weeks nobody visits.

  3. Lists that keep families and partners apart

Family enquiries, referral sources, relatives of past residents and caregiver applicants held separately, because one message suits none of them.

Result: Nobody receives an email meant for somebody else.

  4. Nothing clinical anywhere in the inbox

Subject lines and body text carrying no diagnosis, no care level and no resident name, with anything specific moved to a phone call.

Result: The email would not embarrass anyone reading over a shoulder.

  5. Event invitations with the follow-up already written

Support group and family education invitations, plus the note that goes afterwards to everyone who came and everyone who registered but did not.

Result: An evening event produces calls instead of a photograph.

  6. Reporting on replies and tours, not opens

Which sequence produced a reply, a tour or a start of care, measured against the baseline recorded at the audit.

Result: The sequence nobody answers gets rewritten.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, then reported every month against it.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for senior living and home care agencies

  1. 1

    Follow last month's enquiries

The free audit call traces where each enquiry came from, how long it waited, whether a tour or an assessment happened, and what was said afterwards.

  2. 2

    Fix the first conversation

Agreed overlap hours, a routine for Friday afternoon calls, and a record of every family with the detail they gave so nobody has to ask twice.

  3. 3

    Write what families actually ask

Cost, staffing at night, caregiver consistency and what happens as needs change, written for the daughter reading it after her parents are asleep.

  4. 4

    Build the referral rhythm

Named contacts at hospitals, rehabilitation units, attorneys and hospices, visited on a schedule, with every referral recorded against the person who sent it.

  5. 5

    Report on move-ins and hours

A monthly report on enquiries, tours, assessments and starts of care against the baseline recorded before work began, with the directory spend set beside it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • Hours that fit your day, agreed up front

Which hours we overlap with yours is settled before any work starts, so you know when a reply is coming and when it is not.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is it safe to email a family about their parent's care?
Use email for general information and move anything specific to a call or a secure channel your HIPAA policy allows. Your compliance lead decides what may travel in an ordinary email. The sequences we write carry no health detail at all.
How often should we email a family who toured?
Every week or two for the first six weeks, then monthly, with something usable in each message. Stop the moment they ask. A family deciding about a parent forgives a useful email and remembers a pushy one for years.
Would your team be speaking to our families?
Only as far as you want. Many providers have us take the first call, record the situation and book the tour, then hand anything clinical or emotional to their own nurse or director. Others keep every family conversation in-house and use us for the follow-up schedule, the referral records and the reporting. The line is drawn in the audit and written down.
How do you handle health details?
Under the HIPAA policy you give us, with access limited to the people doing the work. What we are allowed to see is written into the engagement before anything starts. Where the safer answer is to keep a detail out of our systems altogether, we do that instead.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
