Senior living and home care agencies · Reputation management

What a family reads before touring includes your state inspection report.

Reputation management for senior living and home care is watching what families, relatives and your own aides say in public, alongside the inspection findings anyone can look up. GullySales monitors the mentions, drafts replies that disclose nothing about a resident, and asks for reviews at moments families are willing.

A statue plinth seen close: the bronze figure implied only by its feet and the hem of its drapery above the top of the frame, one face of the stone pedestal scrubbed pale and the other still grimy and carrying a scrawl of paint, with a pressure hose coiled on the steps beside a bucket, brushes and cloths

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

For senior living and home care agencies

Where it usually goes wrong, and what we would do.

  • A reply can breach the privacy it is defending

A relative posts about a fall. Confirming that the person lived at your community is itself a disclosure, so the reply says nothing about them at all.

  • Your caregiver reviews are read by families too

A daughter who finds complaints about unpaid mileage and shifts changed at midnight assumes the aide sent to her father will be unhappy as well.

  • Survey findings are public and nobody prepares for them

State inspection results sit online and get repeated by the directories. Families read a citation with no context at all unless you have published yours.

What we do

What we deliver for senior living and home care agencies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Alerts on the community, the agency and the administrator

Watches on search, Google, Caring.com, Yelp and the employment review sites, so a post reaches you before it reaches somebody already booked for a tour.

Result: Nothing is read to you for the first time by a visitor.

  2. Replies written to disclose nothing

A standard shape for answering a relative's complaint that thanks them, offers a private call, and confirms no detail about anyone's care.

Result: The reply does not become the second problem.

  3. Your own account of an inspection finding

A plain page saying what was cited, what changed and when, ready for the family who searched your name and met the state report first.

Result: A citation is read alongside your answer to it.

  4. Review requests timed to moments families feel

After a respite stay ends well, after a care conference, at a first anniversary, with written permission recorded before any name or photograph is used.

Result: Recent reviews from real families sit at the top.

  5. Aide reviews answered, and current staff asked

Responses to former caregivers writing about pay and scheduling, and a routine for asking the aides who stayed to write theirs while they are content.

Result: One bitter account is no longer the whole page.

  6. What came up this month, and what keeps coming up

Every mention found, what was replied, and the complaints that repeat, such as call-out cover or a missed visit, set against the audit baseline.

Result: A repeating complaint becomes an operations item.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, then reported every month against it.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for senior living and home care agencies

  1. 1

    Follow last month's enquiries

The free audit call traces where each enquiry came from, how long it waited, whether a tour or an assessment happened, and what was said afterwards.

  2. 2

    Fix the first conversation

Agreed overlap hours, a routine for Friday afternoon calls, and a record of every family with the detail they gave so nobody has to ask twice.

  3. 3

    Write what families actually ask

Cost, staffing at night, caregiver consistency and what happens as needs change, written for the daughter reading it after her parents are asleep.

  4. 4

    Build the referral rhythm

Named contacts at hospitals, rehabilitation units, attorneys and hospices, visited on a schedule, with every referral recorded against the person who sent it.

  5. 5

    Report on move-ins and hours

A monthly report on enquiries, tours, assessments and starts of care against the baseline recorded before work began, with the directory spend set beside it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • Hours that fit your day, agreed up front

Which hours we overlap with yours is settled before any work starts, so you know when a reply is coming and when it is not.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we reply to a review that names a resident?
Reply without confirming anything about the person. Under the HIPAA policy you give us, even acknowledging that somebody received care is a disclosure. We draft a short response offering a private conversation, and your compliance lead approves it before it goes up.
How do we ask grieving families for a review?
Later, and only some of them. A family that lost a parent last week is the wrong ask. The routine asks at the end of a respite stay, after a care conference, or at the anniversary of a move-in, with permission recorded each time.
Would your team be speaking to our families?
Only as far as you want. Many providers have us take the first call, record the situation and book the tour, then hand anything clinical or emotional to their own nurse or director. Others keep every family conversation in-house and use us for the follow-up schedule, the referral records and the reporting. The line is drawn in the audit and written down.
How do you handle health details?
Under the HIPAA policy you give us, with access limited to the people doing the work. What we are allowed to see is written into the engagement before anything starts. Where the safer answer is to keep a detail out of our systems altogether, we do that instead.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
