Colleges and universities · Follow up systems

Stay with each applicant through every counselling round until the fee is paid.

A follow-up system for a college sets out who contacts each applicant, on which channel and with what, from first enquiry through the counselling rounds to fee payment and joining. GullySales writes the routine with your admissions head, gives every applicant a named counsellor, and records each outcome.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For colleges and universities

Where it usually goes wrong, and what we would do.

  • “Counselling rounds reset the conversation”

A student allotted elsewhere in round one may still upgrade or move later. A college that stops calling after the first round loses students who were still deciding.

  • “Fee paid is not the finish line”

Between fee payment and the first day, students withdraw for a better allotment, a cheaper option or nerves about the hostel. Someone has to stay in touch through that gap.

  • “There is no written stop rule”

Some families get rung daily and complain, while others get one call and are forgotten. The counsellor's mood decides, not the applicant's stage.

What we do

What we deliver for colleges and universities.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A stage for every applicant

Enquired, eligible, visited, applied, allotted, fee paid, joined or lost, with the date each stage was reached.

Result: The admissions head sees who is stuck where.

  2. A named counsellor per applicant

Each applicant owned by one counsellor from first contact to joining, with cover arranged for leave.

Result: A family deals with one person, not whoever picks up.

  3. Round-by-round call notes

What to say after results, before option entry, after allotment and before the fee deadline, written in the counsellors' own words.

Result: Every call carries news rather than a request for an update.

  4. A routine for the joining gap

Contact between fee payment and the first day covering hostel allotment, documents, orientation dates and a welcome from the department.

Result: Admitted students hear from the college before term starts.

  5. Loss reasons written down

Every lost applicant marked with the reason, such as another college, fees, distance or no reply, and compared with the audit baseline.

Result: Next season's plan starts from why students said no.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for admissions

What happens next at each point where an applicant can go quiet.

Enquiry not yet answered
The admissions desk returns every missed call and unread chat before the office closes, from the college number. Record the reply time against the enquiry.
Result day, rank within your range
The assigned counsellor calls with the branches the rank could reach, your counselling code and the visit dates. Note which branches the student is weighing up.
Visited the campus, has not applied
The counsellor who showed them round calls with an answer to the question they asked most, such as hostel fees. Record the parent's main doubt.
Allotted elsewhere in an early round
Ask whether they plan to stay or try for an upgrade. If they might move, explain how your seats work in later rounds and set a call for the next round's dates.
We will think about it
Ask who else is deciding and what they need to see, then send it, such as the fee sheet or a hostel video. Set a call date, and stop after the attempts your office agreed.
Fee paid, term not started
The department sends a welcome, the hostel office confirms the room, and the counsellor checks the documents are ready. Note any sign the student is wavering.

Who it is for

This is written for these colleges and universities.

  • Private engineering colleges admitting through state CET and JEE Main
  • Arts, science and commerce degree colleges
  • Business schools and PGDM institutes
  • Nursing, pharmacy and allied health colleges
  • Law colleges with five-year integrated programmes
  • Private universities and deemed-to-be universities
  • Autonomous colleges affiliated to a state university
  • Design, architecture and media colleges

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for colleges and universities

  1. 1

    Audit the last admission cycle

We trace where last year's applicants came from, how fast the office replied during counselling, how many visited and how many paid, using your admission register and portal exports.

  2. 2

Fix the record and the reply

One enquiry record for every source, a fee sheet every counsellor uses, and saved WhatsApp replies for hostel, fees and documents.

  3. 3

Rebuild the programme and placement pages

A page per programme with eligibility, fees and approvals, and a placement page built from the placement cell's records.

  4. 4

    Bring applicants in before results

Search, portals, school outreach and social channels set up ahead of each programme's result dates, with budget moved towards whatever produces campus visits.

  5. 5

Follow through to the fee receipt

Every applicant followed through each counselling round to a paid admission or a clear no, measured against the baseline taken at the start.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Won't parents get annoyed if we keep calling?
Not if each call brings something new, such as allotment dates or the hostel list. What annoys families is the same question asked by three different counsellors. One owner per applicant fixes most of that.
Should follow-up happen by phone or on WhatsApp?
Both, by purpose. Calls for decisions and doubts, because a parent wants to hear a person. WhatsApp for dates, documents and fee links, which families need to find again later. Log both in the same record.
A family says they have joined another college. What then?
Thank them, ask in one line what decided it, and write the answer down. Then stop calling. Keep the record, because a later allotment sometimes falls through and the family comes back.
When do we stop following up an applicant who never replies?
After the number of attempts your office agreed, spread across the counselling rounds, with a last message saying you will not call again unless they reply. Mark the record lost, with no response as the reason.
Can we advertise our NAAC grade, NIRF rank and placement record?
Yes, if each is current and stated exactly as awarded, with the year. Regulators and consumer protection rules treat misleading claims about approvals, rankings and placements seriously, and the rules change, so have your regulator's current guidance or a legal adviser check the wording. Never print a highest package without the year and the number of students placed.
Our admissions run on counselling rounds. When should marketing start?
Before the entrance results. A student builds the shortlist on result night and locks options soon after, so programme pages and search visibility must already be in place. Advertising can wait for the weeks around results and option entry.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
