Stages of an applicant's journey

An applicant passes through six stages between choosing a stream and joining, and each needs something different from you.

Choosing a stream in Class 11
The student and parents talk to teachers, coaching faculty and relatives about engineering, commerce or health sciences. Be known to those teachers through school talks and course guides.
Entrance exams and results
The student checks rank predictors and past cut-offs on result night. Have programme pages ready with the routes in and links to the official cut-off lists.
Building the shortlist
They compare fees, hostels and placements on portals, YouTube and Reddit, and ask seniors. Make sure your own pages and portal profiles say the same thing.
The campus visit
The family arrives with fee sheets from two other colleges and questions about the hostel. Have the counsellor, the warden and a head of department free that day.
Counselling and allotment
Families lock options, wait for allotment and weigh upgrades. Explain your counselling code and what each round means, and call the student after every allotment.
Fee paid to first day
The student waits for term to start and hears from friends at other colleges. Send joining instructions, hostel details and a welcome from the department, and note any doubts.

How long does a student take to choose a college?
It runs from the first conversations in Class 11 to the last counselling round, but most of the real choosing happens between results and option entry. MBA applicants work to each institute's selection rounds instead. Your own register shows when past students first enquired.
Who besides the student decides?
Parents decide on money, hostel and distance, and an uncle, an older cousin or a coaching teacher may have a strong say. Ask on the first call who else is involved, and offer them the campus visit or a call with a faculty member.
Applicants go quiet after the campus visit. Why?
Most are waiting for a result or an allotment, or comparing fees with another college. Ask which at the end of the visit, and call back after that date with something they asked for.
How do we find where applicants drop out?
Take last season's enquiries, mark the furthest stage each reached, from enquiry to joining, and count them at each stage. Where the count falls most is where to start. Missing stage records are a finding in themselves.
Can we advertise our NAAC grade, NIRF rank and placement record?
Yes, if each is current and stated exactly as awarded, with the year. Regulators and consumer protection rules treat misleading claims about approvals, rankings and placements seriously, and the rules change, so have your regulator's current guidance or a legal adviser check the wording. Never print a highest package without the year and the number of students placed.
Our admissions run on counselling rounds. When should marketing start?
Before the entrance results. A student builds the shortlist on result night and locks options soon after, so programme pages and search visibility must already be in place. Advertising can wait for the weeks around results and option entry.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
