Colleges and universities · WhatsApp marketing

Keep counselling-season chats off the counsellors' personal phones.

WhatsApp marketing for a college is handling the messages applicants and parents already send, and sending updates only to those who asked, through a business account the institution owns. GullySales sets up the account, saved replies for fees, hostel and documents, and a record that ties every chat to the applicant.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily, which gets read faster than email or SMS. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For colleges and universities

Where it usually goes wrong, and what we would do.

  • “The chat lives on a counsellor's own phone”

Counsellors hand out personal numbers in June. When one leaves in September, the conversations with that year's admitted students leave with them.

  • “Broadcast lists built from portal leads”

A student who filled a form on a portal never agreed to your messages. Mass messages to those numbers get the account reported and blocked.

  • “Parents and students want different messages”

The student wants the seat matrix and round dates. The parent wants the fee due date and the hostel list. One message for both satisfies neither.

What we do

What we deliver for colleges and universities.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An admissions number the institution owns

WhatsApp Business or the API on a number registered to the college, handled by named staff, with access removed when someone leaves.

Result: Chats stay with the college.

  2. Saved replies for the questions every round brings

Short answers on fees, hostel, documents for verification, counselling codes and directions to campus, written once and kept current.

Result: A counsellor answers the tenth fee question in seconds.

  3. Opt-in captured at every source

A line on the enquiry form, the fair sign-in sheet and the visit register asking whether the family wants WhatsApp updates, and on whose number.

Result: Every message goes to someone who agreed.

  4. Round-by-round update templates

Messages for result day, option entry, allotment and fee deadlines, approved as templates where the platform requires it.

Result: Applicants hear from you at each step without being chased.

  5. Chats linked to the admissions record

Each conversation tagged with the applicant's programme and stage, so the record shows what was said and promised.

Result: Nobody asks a family a question they already answered.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a college needs before it messages applicants and parents on WhatsApp.

Consent recorded for the student and the parent
Note who agreed to messages, on which number and when. Where the applicant is under 18, get the parent's agreement too, and keep it with the enquiry.
A verified business profile in the college's name
Use the registered name, address and admissions hours, so a parent can tell the account belongs to the institution and not to an agent using your name.
Templates for messages you start
Fee reminders and round updates sent after a quiet spell count as business-initiated and need approved templates. Read WhatsApp's current business policy and pricing first.
A plain way to stop
Say in the first message how to stop updates, and remove anyone who asks. A family that chose another college should stop hearing about your fee deadlines.
A person behind the replies
Name who answers in office hours and what happens after them. A bot can send the fee sheet, but a parent asking about a scholarship or a refund wants a human.
Documents that should not travel by chat
Accept a marks card photo for a first look, but take originals and verification through your admissions process, and delete copies you no longer need.

Who it is for

This is written for these colleges and universities.

  • Private engineering colleges admitting through state CET and JEE Main
  • Arts, science and commerce degree colleges
  • Business schools and PGDM institutes
  • Nursing, pharmacy and allied health colleges
  • Law colleges with five-year integrated programmes
  • Private universities and deemed-to-be universities
  • Autonomous colleges affiliated to a state university
  • Design, architecture and media colleges

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for colleges and universities

  1. 1

    Audit the last admission cycle

We trace where last year's applicants came from, how fast the office replied during counselling, how many visited and how many paid, using your admission register and portal exports.

  2. 2

Fix the record and the reply

One enquiry record for every source, a fee sheet every counsellor uses, and saved WhatsApp replies for hostel, fees and documents.

  3. 3

Rebuild the programme and placement pages

A page per programme with eligibility, fees and approvals, and a placement page built from the placement cell's records.

  4. 4

    Bring applicants in before results

Search, portals, school outreach and social channels set up ahead of each programme's result dates, with budget moved towards whatever produces campus visits.

  5. 5

Follow through to the fee receipt

Every applicant followed through each counselling round to a paid admission or a clear no, measured against the baseline taken at the start.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is WhatsApp Business enough, or do we need the API?
A single admissions desk with a few counsellors can start on WhatsApp Business. Once several people answer the same number, or chats need to sit in admissions software, the API through an approved provider fits better. Check current pricing with the provider.
Should we make WhatsApp groups for admitted students?
Only after fee payment, and only for students who agree. Keep the group for joining information, let only admins post, and move individual questions to direct chats. Mixing applicants with admitted students leaks fee and seat details.
Our counsellors use their own numbers. How do we move away from that?
Give every counsellor access to the college's business number and print it on every brochure and portal profile. Ask counsellors to move live chats across with a short introduction, and set a date after which personal numbers are not given out.
Can we use the catalogue feature for our courses?
Yes. List each programme with eligibility, duration and a link to its page. Leave fees out of the catalogue if they change between rounds, and point to the fee page instead.
Can we advertise our NAAC grade, NIRF rank and placement record?
Yes, if each is current and stated exactly as awarded, with the year. Regulators and consumer protection rules treat misleading claims about approvals, rankings and placements seriously, and the rules change, so have your regulator's current guidance or a legal adviser check the wording. Never print a highest package without the year and the number of students placed.
Our admissions run on counselling rounds. When should marketing start?
Before the entrance results. A student builds the shortlist on result night and locks options soon after, so programme pages and search visibility must already be in place. Advertising can wait for the weeks around results and option entry.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
