What to do with each review

How to answer each kind of review a college or university gets.

Praise from a student or an alumnus
Thank them by first name and mention what they praised, such as a lab or a teacher. Pass it on to the department concerned.
Fee or refund complaint after a withdrawal
Point to where the refund terms are published and invite the student or parent to meet the accounts office. Never post amounts or personal details in a reply.
Hostel, mess or transport complaint
Acknowledge it, say who is responsible, and fix it if it is true. Applicants' parents read these closely, and a reply showing action counts for more than the star rating.
Ragging, harassment or safety allegation
Reply only that the matter has gone to the college's committee, then follow your grievance process. Do not discuss facts in public, and take advice before any further reply.
A promised-job or placement complaint
Do not argue. State what the placement cell offers and invite the student to meet the placement officer. Then check whether a brochure or a counsellor implied a job.
A review that looks planted by a rival
Check it against your student records. If there is no match and it breaks the platform's rules, report it. Never post fake praise in return, and never pay or reward anyone for reviews.

Can we ask students to leave Google reviews?
Yes, if you ask everyone rather than only those you expect to be happy, and offer nothing in return. Ask at moments that matter to the student, such as a placement offer or convocation. Check the platform's current review rules before any drive.
Can we get an unfair review removed?
Only the platform can remove a review, and only if it breaks the platform's rules. Report it once with the reason, reply calmly, and put the effort into collecting genuine reviews. An argument in public works for the reviewer.
A review names a professor. How do we reply?
Reply from the college, not the professor, and leave the faculty member's name out of your reply. Look into it privately through the head of department. When a review praises a teacher by name, show it to them.
A parent wrote in Malayalam. Should we answer in Malayalam?
Yes, if someone on staff writes it well. A short reply in the parent's language shows it was read. Keep the student's details out of it and offer a call with the admissions office.
Can we advertise our NAAC grade, NIRF rank and placement record?
Yes, if each is current and stated exactly as awarded, with the year. Regulators and consumer protection rules treat misleading claims about approvals, rankings and placements seriously, and the rules change, so have your regulator's current guidance or a legal adviser check the wording. Never print a highest package without the year and the number of students placed.
Our admissions run on counselling rounds. When should marketing start?
Before the entrance results. A student builds the shortlist on result night and locks options soon after, so programme pages and search visibility must already be in place. Advertising can wait for the weeks around results and option entry.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
