Orthopaedic clinics · Reputation management

Reply to the OPD-wait review in a line, and take the surgery complaint offline.

Reputation management for an orthopaedic clinic is how you read, answer and act on what patients write about you on Google, Practo and JustDial. GullySales sets who replies to what, keeps every reply clear of clinical detail, and turns the complaints that keep coming back into fixes at the front desk.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

Last updated 6 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For orthopaedic clinics

Where it usually goes wrong, and what we would do.

  • “The angry reviews are about the wait, not the knee”

Sort your one-star reviews and many turn out to be about the OPD running late, the X-ray queue or the bill. The front desk can fix those.

  • “A post-surgery complaint cannot be argued in public”

A patient still in pain months after a knee replacement writes in anger. A reply with clinical detail confirms he was your patient and discloses his care, so move it to a call with the surgeon.

  • “One review names the surgeon, the next names the receptionist”

Praise or blame aimed at a named person needs care. Thank without confirming treatment, and talk to the staff member in private, never in the reply.

What we do

What we deliver for orthopaedic clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Existing reviews sorted by theme

Reviews on Google, Practo and JustDial grouped into waiting, billing, staff manner, surgery and physiotherapy.

Result: You see which complaint repeats, and who can fix it.

  2. Reply rules for each kind of review

Who replies, what may be said and what never goes in a reply, written down and read by the surgeon.

Result: No reply confirms a diagnosis or a procedure in public.

  3. A route from public complaint to private call

A named person, such as the clinic manager, who rings the reviewer, listens and records what was agreed.

Result: The angry patient talks to someone before writing a second review.

  4. Front desk changes drawn from repeat complaints

Changes to slot timing on surgery days, the X-ray queue or how estimates are explained, taken from the complaints that keep returning.

Result: The cause of the review is dealt with, as well as the review.

  5. A watch on every profile a family reads

Google, Practo and JustDial checked for new reviews and wrong details, with fake or abusive reviews reported through each platform's own process.

Result: Nothing sits unanswered where a family is comparing surgeons.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

How to answer each kind of review a bone and joint clinic gets.

The OPD ran late and the appointment meant nothing
Apologise for the wait in one line, say what is changing, and change it: fewer slots on surgery days, or a message to booked patients when the surgeon is held up in theatre.
Still in pain after the surgery
Do not discuss the procedure or the result. Reply that the clinic would like to speak, give the manager's line, tell the surgeon, and note the call on the patient's file.
The bill was more than the estimate
Thank them and offer a call to go through it. Inside, check how estimates are given: implant type, room category and extra days belong on the written estimate before admission.
Five stars naming the surgeon and the procedure
Thank them warmly without repeating the procedure or the condition. Do not put the review on the website or a poster without written consent and your adviser's view.
A review you believe is fake or from a rival
Check your register for the name and date. If there was no such visit, reply politely that you cannot trace it and report it to the platform. Removal is the platform's call, not yours.
A review written in the local language
Reply in the same language and the same plain tone. If nobody at the front desk writes it well, have a staff member who speaks it read the reply before it is posted.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for orthopaedic clinics

  1. 1

    Assess

We look at where consultations come from, how fast WhatsApp reports get a reply, the Maps listing for each consulting address, and how many patients advised surgery went quiet.

  2. 2

    Fix the reply

A named person for calls and WhatsApp, replies that offer a slot without diagnosing, and a register of every enquiry by condition.

  3. 3

    Write the condition pages

Pages for knee, hip, shoulder, spine, fractures and sports injuries, with the surgeon, the hospitals and the report route on each.

  4. 4

    Bring patients in

Maps, reviews asked at the right point in recovery, letters to referring GPs and physios, and ads for procedures where the surgeon has theatre time.

  5. 5

    Follow up and measure

Calls to patients advised surgery and to those due for review, with the reason recorded for each, set against the baseline.

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we ask happy patients to post reviews?
Yes, if you ask every patient the same way and offer nothing for it. Asking only the ones you expect to be pleased is gating, and writing it for them is worse. Check the platform's current rules and your council's guidance before reusing a review anywhere.
A review is rude about our physiotherapist by name. Should she reply?
No. The clinic replies, not the staff member, and the reply neither defends nor blames her by name. Speak to her privately, hear her side, and fix the cause if there is one.
Can a lawyer's notice get a bad review taken down?
Rarely, and it can draw more readers to the review. Platforms remove content that breaks their own rules, such as abuse or a review from someone who was never a patient. A genuine complaint about a long wait stays up, so answer it well.
Should the surgeon reply to reviews himself?
Only if he will keep each reply short and free of clinical detail. Plenty of surgeons prefer the clinic manager to reply in the clinic's name, with the surgeon reading the difficult ones first. Pick one person to own replies so none are missed.
Is an orthopaedic surgeon allowed to advertise?
Within limits set by medical councils, which differ by state and change. Words such as best or painless, discounts and any promise of a result are the usual problems. We write pages and ads that describe the procedure and the surgeon's qualifications, and you check them against your own council's current rules before they go live.
Can we show a patient walking after a knee replacement?
Ask your council or adviser first. A video or photograph of a result works as a testimonial, and doctors' advertising rules restrict those. If it is allowed, take written consent for that specific use. We would sooner film the physio room and the surgeon explaining the stay.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
