Villa and plot developers · Follow up systems

The buyer who said 'after Ashada' needs a call on the right day, not a broadcast.

A follow-up system for a villa or plot developer decides who calls a buyer, and what they say, at each point where a sale stalls. That means an unanswered ad form, a missed pick-up, a visit with no token and a token with no registration. GullySales writes that routine, gives each step an owner and puts a next date on every live buyer.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For villa and plot developers

Where it usually goes wrong, and what we would do.

  • “The pick-up car waits and nobody comes”

A family books Sunday's visit on Thursday and is never reminded. The driver waits at the metro station, rings twice and leaves, and nobody calls the family to fix another day.

  • “'We liked plot 47' is not followed by a call”

After a good visit the salesman waits for the family to ring. They are seeing two other layouts the next weekend, and they come back only if someone calls with a reason.

  • “The calendar decides when buyers say yes”

Families put decisions off through Ashada and return for Dussehra or Ugadi. A buyer who said 'after Ashada' should hear from you when it ends, not get a general message as it begins.

What we do

What we deliver for villa and plot developers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. One person answerable for new enquiries

Who rings a new form or portal enquiry, on which channel, and what is noted if the number does not answer.

Result: No enquiry waits for whoever happens to be free.

  2. Visit reminders and a no-show call

A reminder the evening before, the gate pin on the morning, and a call that day if the family does not arrive, offering the next weekend.

Result: Missed visits are rebooked instead of forgotten.

  3. A post-visit call that carries news

A call soon after the visit with something new: a corner plot released, a bank approval received, the internal roads tarred.

Result: The buyer has a reason to pick up.

  4. A dated list of buyers waiting on something

Buyers waiting on a loan, a land sale, a bonus or the end of Ashada, each with the date they gave and a call planned for it.

Result: Deferred buyers are rung when they said they would be ready.

  5. Registration-day and handover steps

After registration, help with the khata transfer, the power connection and the referral ask, each with an owner.

Result: Buyers leave pleased enough to send a relative.

  6. A stop rule and a closed reason

After a set number of unanswered attempts the buyer is closed with a reason and moved to a list for the next phase launch.

Result: Salesmen spend Sundays on live buyers.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Who follows up a plot or villa buyer at each stage, on which channel, and what to say.

Ad form not yet answered
The pre-sales caller rings the same day and, if there is no answer, sends the layout plan and gate pin on WhatsApp. Record each attempt and whether the number works.
Pick-up booked, family did not come
The salesman who booked it calls that afternoon, without complaint, and offers the next Saturday or Sunday. Note the reason they gave.
Visited, liked a plot, paid no token
The same salesman calls with something new, such as a plot released or the list of approving banks. Record the plot numbers they liked and who else in the family must see them.
'After Ashada' or 'after the bonus'
Note the date they gave and call on that date, not before. Mention the plot they liked and whether it is still free.
Token paid, registration pending
The sales coordinator follows the loan and the papers with the buyer and watches the balance date. Record each step, so a delay is seen before the hold runs out.
Registered, building later
A call when the khata is transferred, and another when you hear they are planning to build. Ask for referrals both times and record the names given.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for villa and plot developers

  1. 1

    Audit how enquiries become visits

We check how fast a Facebook, portal or broker enquiry gets a call, how site visits are booked, how many reach the gate, and where plot availability is kept today.

  2. 2

    Put the paperwork in front

The approval, conversion and title documents go onto each layout page and into a pack sent before the visit. Your lawyer decides first what may be shared.

  3. 3

    Fix the weekend visit

Pick-up, gate pin, a named person at the site office, a plot shortlist from the enquiry and a call afterwards. Each step written down, each with an owner.

  4. 4

Bring buyers by road and plot size

Search ads, layout video on social media, broker lists and boards on the approach road, each tagged so the site office knows which one sent the visitor.

  5. 5

Track each plot from enquiry to sale deed

One record from first call through token, agreement, loan and registration, so the sales head sees which source produces sales and which stage is losing families.

Our time, your media spend and production on separate lines. You always see what goes to us.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Won't buyers get annoyed by repeated calls?
They get annoyed by calls with nothing to say. A call telling them a corner plot was released or the roads are now tarred is welcome; a call asking 'Any decision?' is not. Space the calls out and give each one a reason.
Who should follow up, pre-sales or the salesman who did the visit?
Pre-sales owns the enquiry until the visit, and the salesman who walked the family round owns it after. Families remember the face that showed them the plot and answer that person's call.
Can we follow up on WhatsApp instead of calling?
For the plan, the pin and the documents, yes. For the decision, call. A buyer weighing a plot worth several lakh wants to hear a voice and ask the question he would not type.
A buyer said no. Should we stop calling?
Ask why, write it down, then stop. If the reason was the plot size or the budget, put them on the list for the next phase or a resale plot, and contact them when one is ready.
Can we advertise plots before RERA registration comes through?
Not until your lawyer says so. Most states bring plotted and villa projects above a set size under RERA, and promoting a project that needs registration before it has one puts the project at risk. We publish approval and registration numbers only after you confirm them in writing.
Our layout is outside Karnataka. Can you still work with us?
Yes. The work runs from our office in Nagarbhavi, Bengaluru, by call, WhatsApp and shared documents, and we travel for kick-off and review sessions when they are needed. Approving bodies and land documents differ by state, so the documents page is written with your own lawyer.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
