Vocational training institutes · Follow up systems

Call back the family that saw the workshop and said it would think.

A follow-up system for a vocational training institute is the routine that brings back the enquirer who has not enrolled, and the student who enrolled and stopped coming. GullySales writes who calls, on which channel, what is said and what is recorded, for each point where a student or parent can go quiet.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For vocational training institutes

Where it usually goes wrong, and what we would do.

  • “The demo class ends and the list goes in a drawer”

A roomful of students attends and a few ask about fees. Without a call the next day, the ones who wanted a night to think have found another centre.

  • “The student pays and stops coming”

Absence in the first week is the earliest sign a student will drop out. Nobody is told to ring, and the second instalment never arrives.

  • “Only the student was spoken to”

The counsellor talks to the nineteen-year-old and the father who pays never hears what the course offers. At home, the answer is a no.

What we do

What we deliver for vocational training institutes.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up by situation

Written steps for the unanswered enquiry, the visitor who will think, the family waiting for a seat and the student who has stopped coming.

Result: Each case has a next step and an owner.

  2. A call after every demo class

A list of those who attended with the course asked about, called by the counsellor who met them with the one question they raised.

Result: A student is spoken to while the class is fresh.

  3. A call script for the parent

Short questions for the father or mother, on who else decides, the fee, the instalments and the certificate.

Result: The person who pays hears the answer.

  4. A seat-open list for the next batch

Families told the batch is full are noted with their course and contacted when a seat opens or the next batch is fixed.

Result: A full batch does not lose its next intake.

  5. An absentee call routine for new students

The trainer marks absence, the counsellor rings the student or parent, and the reason is recorded.

Result: A drop-out is noticed while it can still be reversed.

  6. Reasons for no, recorded and reviewed

Fee, distance, timing, certificate doubts, family refusal and a rival, entered on each lost enquiry and compared with the baseline.

Result: You learn why families say no, not just how many.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

What happens next at each point where a student or parent can go quiet.

Enquiry not yet answered
The desk returns every missed call and unread chat the same day, from the institute's number. Record the reply time against the enquiry.
Attended the demo class, did not enrol
The counsellor who met them rings the next day with an answer to the question they asked most, such as the instalment dates. Record what held them back.
Saw the workshop, will discuss at home
Ask who else is deciding and send what that person needs, such as the fee sheet or a video of the practical room. Set the next call for before the batch closes.
Paid the first instalment, missed the first week
The trainer tells the desk on the first absent day and the counsellor rings the student and the parent. Note the reason. If it is travel or timing, offer another batch.
Batch full, waiting for the next
Ask for the course and the preferred timing, note it in the register, and message when the next batch is fixed. Do not promise a seat you do not have.
No, the fee is too high
Ask whether the instalment plan changes it and say what is included. If it is still a no, record the reason, thank them and stop. A call after that is pressure, not follow-up.

Who it is for

This is written for these vocational training institutes.

  • Computer and IT skill institutes teaching DCA, hardware and networking, and Tally with GST
  • Electrician, plumbing, AC and refrigeration, and solar installer training centres
  • Mobile phone repair and CCTV installation institutes
  • Fashion designing, tailoring and beauty academies
  • Healthcare skill centres for nursing assistants and lab and X-ray technicians
  • Workshop trades such as welding, CNC and VMC operation and two-wheeler mechanics
  • Hospitality, retail and security-service training centres
  • Training partners running government-funded or CSR-funded batches

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for vocational training institutes

  1. 1

    Audit the last batch cycle

We trace where last cycle's students came from, how quickly the desk replied, how many visited and how many paid, using your admission register, call log and fee receipts.

  2. 2

Fix the register and the reply

One enquiry record for every source, a fee sheet every counsellor uses, and saved WhatsApp replies for batch dates, certificate and instalments.

  3. 3

Rebuild the course and certificate pages

A page per course with eligibility, tools, fee and the issuing body, and a page on tie-ups written from what employers have agreed.

  4. 4

Bring students in before the batch starts

Search, Business Profile, social and local outreach set up ahead of each course's season, with budget moved towards whatever produces workshop visits.

  5. 5

Follow through to the second instalment

Each enquiry followed to a paid seat or a clear no, and each new student followed through the first fortnight, measured against the baseline.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we call before we stop?
Until the family says yes or no, or the batch closes. A few calls spread over the days before the start date is a fair routine. Agree it with your counsellors so nobody invents their own. A clear no ends it.
Should the counsellor or the trainer follow up?
The counsellor handles fees and joining, and the trainer answers what the course teaches. Let the counsellor call, and bring the trainer in for a family with a technical doubt, such as whether a Tally course covers GST returns.
Is a WhatsApp message enough, or must we call?
Call the parent, message the student. A father deciding on a fee wants a voice, and a student prefers a message with the batch date. Send the fee sheet and the course page by chat after the call, so they have it at home.
Students say yes and then never turn up. What do we do?
Send a reminder the day before the batch starts and ring on the first morning. If they have gone quiet, ask once whether a different timing helps, and release the seat to the waiting list on the day you told them.
Can we promise a job after the course?
No. Say what the centre does: interview preparation, employers who have visited and the trainees they took, each named only with their agreement. Rules on placement claims differ by regulator and state and change, so check with a legal adviser before printing a line about jobs.
Our certificate is our own, not a government one. Do we have to hide that?
Do not hide it. Say whose certificate it is, what was assessed and which employers have accepted it. Families trust a plain statement more than a vague word like certified, and a claim that the certificate carries more weight than it does costs you at the first employer interview.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
