Vocational training institutes · WhatsApp marketing

Move enquiries off the counsellor's phone onto a number the institute owns.

WhatsApp marketing for a vocational training institute is answering the messages students and parents already send, and sending batch updates only to people who agreed, from a business number the institute owns. GullySales sets up the account, saved replies for fees and batch dates, and a record tying each chat to the course asked for.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily, which gets read faster than email or SMS. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For vocational training institutes

Where it usually goes wrong, and what we would do.

  • “Everyone who ever enquired is added to a group”

Names from the walk-in register are added to a batch group without asking. A few leave, a few report the number, and the centre loses the right to message the ones who stayed.

  • “Identity documents travel through personal chats”

Students send an Aadhaar photograph or marks card to whoever is at the desk. The images sit in that person's gallery, and leave with them.

  • “Last year's brochure PDF goes out again”

A counsellor forwards the old leaflet with last cycle's fees and a batch date that has passed. The student arrives expecting a price the centre no longer charges.

What we do

What we deliver for vocational training institutes.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An enquiry number the institute owns

WhatsApp Business, or the API where several counsellors share one number, registered to the institute, with each person's access removed when they leave.

Result: The chats stay with the centre.

  2. Saved replies for the questions every batch brings

Fee, instalments, batch timings, certificate, how to reach the centre and what to bring, written once and kept current.

Result: A counsellor answers the tenth fee question in seconds.

  3. Opt-in captured at the desk and online

A line in the walk-in register and on the enquiry form asking whether the family wants WhatsApp updates, and on whose number.

Result: Every message goes to someone who agreed.

  4. Templates for demo class and batch reminders

Messages for the day before a demo class, the start of a batch, the instalment date and a seat opening up, approved where the platform requires it.

Result: Students hear from the centre at each step without being chased.

  5. Chats tied to the course record

Each conversation tagged with the course asked for and the stage reached, so the record shows what was said and promised.

Result: Nobody asks a family a question it already answered.

  6. A route for documents that is not a chat

A form at the desk for identity documents and marks cards, with a rule on how long copies are kept.

Result: Personal documents stop living in staff galleries.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a training institute needs before it messages students and parents on WhatsApp.

A recorded yes from the student or parent
Put a tick line in the walk-in register and on the form, noting whose number it is and the date. For a student under 18, record the parent's agreement.
A business profile in the institute's name
Use the name on the signboard and the certificate, the address and desk hours, so a parent can tell the account is the centre and not an agent.
Templates for messages you start
A reminder sent after a quiet spell needs a message the platform approves in advance. Check WhatsApp's current business policy and pricing before planning how many you send.
Who pays for a conversation
Business-started messages are charged by the platform and the provider. Ask for the current rates in writing and decide your own limit before sending a batch reminder to everyone.
A plain way to stop
Say in the first message how to stop updates, and remove anyone who asks. A family that joined another centre should not hear about your instalment dates.
A person behind the replies
Name who answers during desk hours and what happens after. A bot can send the fee sheet, but a parent worried about a refund wants a human.

Who it is for

This is written for these vocational training institutes.

  • Computer and IT skill institutes teaching DCA, hardware and networking, and Tally with GST
  • Electrician, plumbing, AC and refrigeration, and solar installer training centres
  • Mobile phone repair and CCTV installation institutes
  • Fashion designing, tailoring and beauty academies
  • Healthcare skill centres for nursing assistants and lab and X-ray technicians
  • Workshop trades such as welding, CNC and VMC operation and two-wheeler mechanics
  • Hospitality, retail and security-service training centres
  • Training partners running government-funded or CSR-funded batches

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for vocational training institutes

  1. 1

    Audit the last batch cycle

We trace where last cycle's students came from, how quickly the desk replied, how many visited and how many paid, using your admission register, call log and fee receipts.

  2. 2

Fix the register and the reply

One enquiry record for every source, a fee sheet every counsellor uses, and saved WhatsApp replies for batch dates, certificate and instalments.

  3. 3

Rebuild the course and certificate pages

A page per course with eligibility, tools, fee and the issuing body, and a page on tie-ups written from what employers have agreed.

  4. 4

Bring students in before the batch starts

Search, Business Profile, social and local outreach set up ahead of each course's season, with budget moved towards whatever produces workshop visits.

  5. 5

Follow through to the second instalment

Each enquiry followed to a paid seat or a clear no, and each new student followed through the first fortnight, measured against the baseline.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should every batch have a WhatsApp group?
Only for students already admitted, and only with their agreement. Let admins post, keep the group for timetables and notices, and move individual questions to a direct chat. A group mixing enquirers and enrolled students leaks fee details.
Is WhatsApp Business enough, or do we need the API?
One desk with a couple of counsellors can start on WhatsApp Business. When several people answer one number, or chats must sit in a record, an approved provider and the API fit better. Check the provider's current pricing and terms.
Can we use the catalogue for our courses?
Yes. List each course with who can join and a link to its page. Leave fees out if they change by batch, and point to the fee page instead.
Our trainers chat with students on their personal numbers. Is that a problem?
It is when the chats hold fee talk or documents. Keep timetable messages in the batch group, and route fee, refund and personal matters through the institute's number so the record stays with the centre when a trainer moves on.
Can we promise a job after the course?
No. Say what the centre does: interview preparation, employers who have visited and the trainees they took, each named only with their agreement. Rules on placement claims differ by regulator and state and change, so check with a legal adviser before printing a line about jobs.
Our certificate is our own, not a government one. Do we have to hide that?
Do not hide it. Say whose certificate it is, what was assessed and which employers have accepted it. Families trust a plain statement more than a vague word like certified, and a claim that the certificate carries more weight than it does costs you at the first employer interview.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
