The chore becomes unbearable
A close is delayed, a clerk resigns or an auditor flags a manual reconciliation. Write a page on each chore in the words the team uses, and name the role that feels it.
Asking around and searching

Comparing the options

How long does an automation buyer take to decide?
Longer than a software subscription, because a pilot, an IT review and a budget approval sit in the way. Some buyers decide after one watched process, and others wait for the next financial year. Ask on the first call what has to happen internally, and who else must agree.
Who else has a say besides the finance head?
The IT head, who approves access and systems, and sometimes information security, procurement and the CEO. The operations staff have no vote but can sink a pilot by refusing to trust it. Ask early who signs off on each of these.
A buyer went quiet after the proof of concept. What now?
Find out whether the pilot failed, passed or was never reviewed. A buyer whose pilot passed may be waiting for budget, so send the note their manager needs. One whose pilot failed needs a straight account of why, and a decision on whether to try again.
How do we find where buyers drop out?
Count from your own register: enquiries, discovery calls held, process walks done, proofs started, proofs passed, proposals sent, orders signed. The biggest fall between two neighbours is your problem stage. Only the register can show it.
Should we call it RPA or automation?
Use the buyer's word on each page. A finance head searches for the chore, such as invoice entry, so lead with that. RPA belongs where an IT head or a platform buyer is reading, and automation works for everyone else.
The platform vendor already lists us as a partner. Why more?
