Dental clinics · Review generation

Ask when the mirror comes out, not when the mouth is still numb.

Review generation for a dental clinic is the business of getting patients to write one: which visit to ask after, who does the asking, and how the link reaches their hand. That is a different job from answering the reviews you already have. GullySales sets the moment, the wording and the checks that keep the ask inside what your council permits.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What review generation means

In a clinic or practice a review is a public statement by a patient, and asking for one is restricted or unwise in several regulated professions. Review generation here is proof that does not depend on a patient writing in public: the professional listing kept accurate, the note back to the referring doctor, and a reply that never confirms somebody was a patient. GullySales sets that up and tracks what arrives without soliciting it.

For dental clinics

Where it usually goes wrong, and what we would do.

  • “The moment is the mirror, not the extraction”

A patient whose lip is numb and whose jaw will ache all evening writes nothing kind. The one who has just seen a new crown in the mirror will write it there and then.

  • “The person who did the treatment should not be the one asking”

Patients say yes to the dentist holding the drill and then write nothing. Ask at the desk while the card machine is working and the review actually appears.

  • “What a dental practice may ask for is not settled everywhere”

Professional conduct rules restrict how dental treatment is advertised and how patient testimonials are used, and they differ between councils and change over time. Confirm the current position with your own dental council before you script anything.

What we do

What we deliver for dental clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. The visits where an ask is appropriate, written down

A short list of the appointments the desk asks after, such as a fitted crown or a completed cleaning, and the ones it never asks after.

Result: Nobody asks a patient who is still in pain.

  2. A desk script and a link the patient uses before leaving

Wording for whoever takes the payment, with a short link or a code on the counter so the review is written while the patient is still standing there.

Result: The ask happens in the chair-to-door minute, not in a message next week.

  3. Wording drafted against advertising restrictions

The ask and any printed card written in general terms, with the specific points you need cleared listed out for your council or adviser.

Result: You know which sentences to get confirmed before they go up.

  4. A confidentiality rule for public replies

A written rule that no reply names a treatment, a diagnosis or a visit, plus two ready replies: one for a complaint about pain, one about cost.

Result: A reply defends the clinic without discussing the patient.

  5. New reviews counted by treatment and by branch

A count against the figure recorded before the work started, split by the treatment the review mentions and, where you run more than one clinic, by branch.

Result: You can see whether the ask is actually being made at the desk.

How the result is measured

  • Reviews received
  • Average rating
  • Response rate to requests

Recorded as a baseline before work starts, so every later report has an honest comparison.

Who it is for

This is written for these dental clinics.

  • Single-dentist clinics
  • Multi-chair general dental clinics
  • Orthodontic and aligner-only practices
  • Implant and oral surgery centres
  • Cosmetic and smile-design clinics
  • Paediatric dental clinics
  • Dental clinics inside a multi-speciality centre
  • Multi-branch dental groups
  • New clinics in their first year

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. 01 · First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. 04 · After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for dental clinics

  1. 1

    Assess

We look at your Maps position for priority treatments, your reply time on phone and WhatsApp, your reviews, and where quotes are being lost.

  2. 2

    Fix the reply

A missed-call and WhatsApp routine the front desk can follow, and a record of every enquiry and quote given.

  3. 3

    Build the treatment pages

A page per priority treatment, written for the patient's question, with the dentist's qualification and a clear booking step.

  4. 4

    Bring patients in

Local search, reviews from real patients, and advertising for the treatments where the search already exists and chair time is free.

  5. 5

    Keep them coming back

Recall reminders, quote follow-up on a fixed schedule, and a referral ask timed to a good outcome.

Proof

What happened when owners fixed this.

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we give a patient a discount for writing a review?
Do not. Review platforms take down paid reviews and can restrict the profile, and paying for a testimonial sits badly with professional conduct rules in most places. Ask your dental council what applies to you. A patient asked properly, at the right moment, writes it for nothing.
A patient has posted publicly about pain during an extraction. What do we write?
Something short, with no clinical detail at all. A public reply that confirms what treatment somebody had is a confidentiality problem before it is a marketing one. Thank them, give a name and a number, and move the conversation off the page.
How soon would we see more patients?
Fixing reply time and the Maps profile shows in weeks, since the searches are already happening. Building reviews and ranking treatment pages takes months.
Do we need to advertise?
Most clinics benefit first from the profile and the reply routine. Advertising makes sense for a treatment where you need a chair filled this month.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
