Dental clinics · WhatsApp marketing

Answer the photo of a broken tooth that arrives at eleven at night.

For most clinics WhatsApp is now the front door: a picture of a chipped tooth, a question about aligner cost, a request to move tomorrow's slot. It is also the easiest place to irritate a patient and to leave their photographs where anyone can scroll them. GullySales sets up the business number, the replies and the rules around both.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily, which gets read faster than email or SMS. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For dental clinics

Where it usually goes wrong, and what we would do.

  • “The first message is a photograph, not a question”

Somebody sends a picture of a broken front tooth and waits. A reply saying please visit the clinic loses them. A reply that names what the visit will involve and offers two slots tomorrow books them.

  • “A broadcast about whitening is advertising, and dentistry restricts advertising”

Rules on how a dental practice may promote treatment differ between councils and change, so take the current position from yours before any offer reaches a patient list. There is a practical cost too: patients who never agreed to it report the number, and a reported number stops delivering.

  • “The clinic number is a shared handset”

Intraoral photographs, x-ray pictures and a patient's reports sit in a gallery anyone at the desk can scroll through. Put the number on a business account, decide who holds access, and get the rest off the phone.

What we do

What we deliver for dental clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business account running on the clinic's own number

Verified profile, address, hours and treatment list set up properly, with the dentist's personal handset taken out of the enquiry loop.

Result: Patients message the clinic, not somebody's private phone.

  2. Saved replies for the four messages you get every day

Ready answers for the photograph of a broken tooth, the cost question, the slot change and the directions request, each one ending in an offer of a time.

Result: The desk answers in seconds instead of retyping the same thing.

  3. A written rule on who sees patient photographs

Access to the handset, what gets deleted, what is moved into the patient record, and what is never forwarded to a staff group.

Result: A patient's mouth is not in somebody's camera roll.

  4. Consent taken at booking and recorded once

A single question when the appointment is made, about reminders and messages, with the answer stored against the patient.

Result: You can show who agreed to be messaged.

  5. Reminder wording kept to the appointment itself

The message that goes out before a slot carries the date, the time and the dentist's name, and carries nothing else.

Result: Reminders stay welcome instead of turning into promotion.

  6. Enquiries from the number counted separately

Messages, replies and bookings arriving on WhatsApp tracked against the enquiry baseline recorded before the work started.

Result: You can see what the number is worth beside the phone line.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

Who it is for

This is written for these dental clinics.

  • Single-dentist clinics
  • Multi-chair general dental clinics
  • Orthodontic and aligner-only practices
  • Implant and oral surgery centres
  • Cosmetic and smile-design clinics
  • Paediatric dental clinics
  • Dental clinics inside a multi-speciality centre
  • Multi-branch dental groups

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. 01 · First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. 04 · After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for dental clinics

  1. 1

    Assess

We look at your Maps position for priority treatments, your reply time on phone and WhatsApp, your reviews, and where quotes are being lost.

  2. 2

    Fix the reply

A missed-call and WhatsApp routine the front desk can follow, and a record of every enquiry and quote given.

  3. 3

    Build the treatment pages

A page per priority treatment, written for the patient's question, with the dentist's qualification and a clear booking step.

  4. 4

    Bring patients in

Local search, reviews from real patients, and advertising for the treatments where the search already exists and chair time is free.

  5. 5

    Keep them coming back

Recall reminders, quote follow-up on a fixed schedule, and a referral ask timed to a good outcome.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send appointment reminders on WhatsApp?
Yes, where the patient agreed to it at booking and the message is about their own appointment. Keep it to the date, the time and who they are seeing. A reminder is not the place to add an offer on whitening.
Should we put treatment prices in the WhatsApp catalogue?
Only what you can state flatly, such as a consultation fee or a cleaning. An implant figure depends on the bone, the brand and the number of sittings, and a catalogue price you cannot hold becomes an argument at the desk. Check with your council what a practice in your state may publish.
How soon would we see more patients?
Fixing reply time and the Maps profile shows in weeks, since the searches are already happening. Building reviews and ranking treatment pages takes months.
Do we need to advertise?
Most clinics benefit first from the profile and the reply routine. Advertising makes sense for a treatment where you need a chair filled this month.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
