IVF and fertility clinics · Buyer journey

Map the long road before a couple calls, not only the week after.

Buyer journey mapping for a fertility clinic traces how a couple moves from trying without success, through the gynaecologist and the search, to a first consultation and a decision on treatment. GullySales builds the map from your own enquiry records, finds the stage where couples drop out, and fixes that step first.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What buyer journey means

The buyer journey is the sequence of steps a customer actually takes, from first hearing about you to deciding to buy, which is rarely a single visit or call. GullySales maps this sequence for your business and checks that something useful happens at each step instead of only at the final call.

For IVF and fertility clinics

Where it usually goes wrong, and what we would do.

  • “The journey starts long before the clinic hears of it”

Couples try, wait, see a gynaecologist, try ovulation tracking or IUI, and only then search for IVF. A clinic that speaks only to the IVF searcher meets them late and tired.

  • “Two people decide, and a family weighs in”

The woman researches, the husband needs persuading to test, and parents ask about money and tradition. A map with a single buyer misses where couples actually stall.

  • “The estimate is where couples stop”

Between the consultation and the first injection sits the money: savings, a loan, an EMI offer. Couples who cannot see the full cost pause and do not come back.

What we do

What we deliver for IVF and fertility clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A journey map drawn from your records

Each stage taken from your enquiry log, consultation register and billing, not from a template.

Result: You see your clinic's real path, with the gaps marked.

  2. Drop-out points counted by stage

How many couples reach each stage and where they leave, against the baseline taken before anything changes.

Result: Effort goes to the stage that is losing couples.

  3. Separate maps for IVF, IUI and egg freezing

A different route for each decision, since a woman planning egg freezing decides differently from a couple after failed IUIs.

Result: Each treatment gets the content and follow-up its couples need.

  4. Missing pieces listed by stage

The page, video, script or call that is absent at each stage, with the order to build them in.

Result: Work is planned against real gaps.

  5. A stage for the partner and the family

The point where the husband or the parents enter the decision, with what they need to see and hear from the clinic.

Result: The people who can stop a decision get their answers too.

How the result is measured

  • Drop-off rate by step
  • Time from first contact to sale
  • Steps with no content

Recorded as a baseline before work starts, so every later report has an honest comparison.

Stages of a couple's journey

A couple moves from trying without success to starting treatment through these stages, and each needs something ready.

Trying, and starting to worry
The woman reads about cycles and PCOS late at night. Have plain articles on when to seek help, with a soft way to ask a question and no hard sell.
The gynaecologist's advice
Tests, ovulation tracking and perhaps IUI happen here. Keep the referring gynaecologists informed about what your clinic offers and how to refer.
Searching and shortlisting
The couple compares two or three clinics on Google, Maps, Practo and YouTube. Have a cost page, doctor profiles and real photographs of the clinic.
First call or WhatsApp
They ask about cost, timings and whether the doctor sees them personally. Have the coordinator answer on the clinic number, with saved replies and a booking slot.
Consultation, tests and the estimate
The couple hears the plan and the cost, then goes home to decide with family. Have a clear written estimate ready, and a counsellor who will call.
Treatment and afterwards
During the cycle they need instructions and reassurance; afterwards, a review whatever the result. Have the nurse line and the review consultation in place.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for IVF and fertility clinics

  1. 1

    Assess

We read your enquiry channels, how long couples wait for a reply, how consultations turn into tests and tests into a cycle, and where referred couples come from.

  2. 2

    Settle privacy and the rules

We agree with you and your adviser what an ad, a post or a message may say, and who may hold patient numbers, before anything goes out.

  3. 3

Fix the reply and the record

One clinic number, a coordinator's routine, and an enquiry record that follows a couple from the first message to a treatment decision.

  4. 4

Build the pages and the profile

Treatment and diagnosis pages reviewed by your doctor, a complete Maps listing for each centre, and content in the languages your couples speak.

  5. 5

Bring couples in and stay in touch

Search, referral work with gynaecologists and careful advertising for the treatments with room, with follow-up that stops when a couple asks it to.

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How long do couples take to decide on IVF?
It varies widely. Some decide at the first consultation because they have already been through IUI; others take months while they save or bring the family round. Your own records will show the pattern at your clinic, so measure it rather than guess.
Who else is involved in the decision besides the couple?
Parents and in-laws, who may be paying or hold strong views; the referring gynaecologist, whom the couple trusts; and sometimes a relative who is a doctor. Ask at the first consultation who else the couple will talk to, and offer to explain the plan to them.
Couples go quiet after the first consultation. Is that normal?
It is common, and it is where clinics lose them. Some are saving, some are waiting for a partner to be tested, and some are managing family opinion. A planned call from the counsellor asking what is in the way tells you which.
How can we find where couples drop out in our own records?
Line up your enquiry log, consultation register and billing for the same period, and count couples at each stage. The biggest gap between two stages is where to look first. If the records do not connect, joining them is the first fix.
Can an IVF clinic advertise its success rate?
Treat it as a no. Rules on medical advertising restrict outcome claims, and a published rate invites comparisons that rarely compare like with like. Let the doctor discuss results in the consultation, against the couple's own age and diagnosis, and check any wording with your own council or adviser.
Is there a law that applies to fertility clinics specifically?
Yes. Assisted reproduction clinics and banks in India are registered and regulated under their own law, separate from the general rules on medical advertising, and it is strict on donors, records and consent. We do not interpret it for you, so your registration, any donor programme and your advertising wording go past your legal adviser first.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
