IVF and fertility clinics · WhatsApp marketing

The phone on the dining table shows every message preview to the family.

WhatsApp for a fertility clinic is where couples send reports, ask about cost and confirm scan days, frequently from a phone the rest of the family can see. GullySales sets up the business account, writes saved replies and approved templates, and settles the privacy rules first, so a message preview never says more than the couple wants.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily, which gets read faster than email or SMS. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

Last updated 6 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For IVF and fertility clinics

Where it usually goes wrong, and what we would do.

  • “A message preview can expose a couple”

A notification reading 'Your IVF scan is tomorrow' on a shared phone tells the household everything. Use neutral wording, and ask the couple which number you should use.

  • “Cycle instructions and marketing must not share a line”

Injection timings and scan instructions are clinical, and a missed one has consequences. Keep them on a staffed nurse line, apart from anything promotional.

  • “Reports arrive on whatever number couples have”

Couples send AMH and semen reports to the doctor's personal phone if that is the number they know. Publish one clinic number and move reports into the clinic record.

What we do

What we deliver for IVF and fertility clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. WhatsApp Business account for the clinic

A verified profile with the address, timings, a short greeting and a menu that routes to appointments, estimates or the counsellor.

Result: A couple reaches the right person without explaining themselves twice.

  2. Saved replies for the common questions

Answers on consultation timings, what to bring to the first visit, how the estimate works and finance options, written with no medical advice.

Result: Most questions are answered without pulling a doctor out of the OPD.

  3. Reminder templates that reveal nothing

Appointment and scan reminders worded so the preview says nothing about fertility treatment, submitted for the platform's approval.

Result: A couple's privacy survives a shared phone.

  4. A separate nurse line for cycle instructions

Injection and procedure instructions sent from the nurse coordinator's number, with a call for anything urgent and a record kept.

Result: Clinical messages never get lost among promotions.

  5. Consent and opt-out records

Permission to message recorded at registration, an easy way to stop, and broadcasts sent only to couples who agreed.

Result: Nobody receives a message they did not ask for.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

An IVF clinic needs these in place before WhatsApp carries a single couple's message.

Written consent at first contact
Record which number the couple wants used, whether messages may name the clinic, and which kinds of message they agree to receive.
Neutral templates for reminders
Word reminders without IVF, embryo or pregnancy in them. Templates may need WhatsApp's approval, so check WhatsApp's current business policy and pricing before you plan volume.
Who pays for business-initiated messages
Messages the clinic starts through the API are charged to the clinic's account by the platform. Agree a budget line for them with your billing team.
An opt-out that is honoured
Tell couples how to stop messages and act on it at once. After a couple says a cycle has failed, stop every promotional message unless they ask to hear from you.
A person on the other end
Name the coordinator who answers in clinic hours, and set an out-of-hours reply giving the emergency number for anyone in the middle of a cycle.
Reports kept off personal phones
Agree with your adviser where reports received on WhatsApp are stored, and remove them from the chat once they are filed in the clinic record.

Who it is for

This is written for these IVF and fertility clinics.

  • Standalone IVF centres run by one fertility specialist
  • Multi-branch fertility chains
  • Fertility units inside a multi-speciality or maternity hospital
  • Gynaecology practices adding IUI and fertility work
  • Andrology and male infertility clinics
  • Egg freezing and fertility preservation practices in the metros
  • Centres running consultation days in district towns

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for IVF and fertility clinics

  1. 1

    Assess

We read your enquiry channels, how long couples wait for a reply, how consultations turn into tests and tests into a cycle, and where referred couples come from.

  2. 2

    Settle privacy and the rules

We agree with you and your adviser what an ad, a post or a message may say, and who may hold patient numbers, before anything goes out.

  3. 3

Fix the reply and the record

One clinic number, a coordinator's routine, and an enquiry record that follows a couple from the first message to a treatment decision.

  4. 4

Build the pages and the profile

Treatment and diagnosis pages reviewed by your doctor, a complete Maps listing for each centre, and content in the languages your couples speak.

  5. 5

Bring couples in and stay in touch

Search, referral work with gynaecologists and careful advertising for the treatments with room, with follow-up that stops when a couple asks it to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Our coordinator runs WhatsApp from one phone. When does a clinic outgrow that?
A single centre with one coordinator can start on the app. Once several staff answer, or you need approved reminder templates and a proper record, the API with a shared inbox is the safer choice. Check the platform's current charges before deciding.
Should we start a WhatsApp group for couples going through IVF?
No. Members see one another's numbers and names, which exposes every couple in the group. Use one-to-one messages, or a WhatsApp channel where followers stay hidden, for general updates.
Our doctors give patients their personal numbers. Should they stop?
Move routine contact to the clinic number and keep the doctor's personal number for emergencies the doctor chooses to take. Reports sitting on a personal phone are outside the clinic's record and leave with the phone.
Can we list our IVF packages in the WhatsApp catalogue?
We would advise against it. A package in a catalogue reads as a fixed price and invites comparison without the inclusions. List the first consultation and the basic tests there, and explain treatment costs in person.
Can an IVF clinic advertise its success rate?
Treat it as a no. Rules on medical advertising restrict outcome claims, and a published rate invites comparisons that rarely compare like with like. Let the doctor discuss results in the consultation, against the couple's own age and diagnosis, and check any wording with your own council or adviser.
Is there a law that applies to fertility clinics specifically?
Yes. Assisted reproduction clinics and banks in India are registered and regulated under their own law, separate from the general rules on medical advertising, and it is strict on donors, records and consent. We do not interpret it for you, so your registration, any donor programme and your advertising wording go past your legal adviser first.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
