IVF and fertility clinics · Reputation management

Answer every fertility review without confirming the reviewer was your patient.

Reputation management for an IVF clinic means asking couples for honest reviews in a way that respects their privacy, and replying to each review, kind or angry, without disclosing anything about their treatment. GullySales writes the reply guidelines with your doctors, sets up a private request routine, and passes on the complaints that point to a problem inside the clinic.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

Last updated 6 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For IVF and fertility clinics

Where it usually goes wrong, and what we would do.

  • “Couples hesitate to review fertility care in public”

Many will not put their name next to IVF on Google, however good the care was. Ask privately, accept a no, and never chase a couple who has not replied.

  • “A failed cycle produces the hardest reviews”

Grief comes out as anger about the bill or the doctor's manner. A defensive reply, read by every couple about to start treatment, does more harm than the review itself.

  • “A careless reply can breach confidentiality”

Writing 'we are sorry your transfer did not work' confirms in public that the reviewer had IVF. Reply to the concern, never to the treatment.

What we do

What we deliver for IVF and fertility clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Reply guidelines approved by your doctor

Model replies for each kind of review, with a firm rule that no reply mentions a diagnosis, a procedure or an outcome.

Result: Every reply protects the couple as well as the clinic.

  2. A private request routine

A short, optional message after a point the couple is comfortable with, such as the end of a consultation, sent only with their consent.

Result: Reviews come from couples who wanted to give one.

  3. Complaint themes taken back inside

Repeated complaints about waits on scan mornings, billing surprises or rushed counselling grouped and passed to the clinic manager.

Result: Problems get fixed where they start, not only answered online.

  4. Watch kept on Google, Practo and JustDial

New reviews on every platform seen and answered by a named person, with angry ones raised to the clinic head.

Result: No review sits unanswered while couples read it.

  5. False and abusive reviews reported

Reviews that break platform rules flagged with evidence through the proper route, with no promise that any will be removed.

Result: You act on false reviews without making them worse.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

Each kind of review an IVF clinic receives needs a different reply, and some need a change inside the clinic.

Grateful review mentioning a pregnancy
Thank them warmly without repeating the outcome. Write 'thank you for trusting us' rather than congratulating anyone on a pregnancy in public.
Angry review after a cycle that failed
Reply with sympathy and an offer to speak to the doctor directly, saying nothing about treatment. Inside, check whether the couple was offered a review consultation.
Bill came to more than the estimate
Apologise for the confusion and offer a call with the billing lead. Inside, compare the estimate format with what was billed and close the gap.
Long waits on scan or retrieval mornings
Acknowledge the wait plainly. Inside, look at how appointments are spaced on those mornings and whether couples are told how long to expect.
Review naming a counsellor or nurse
Thank or apologise without naming the staff member in the reply. Pass praise on to the person, and handle criticism privately with them.
Review that looks false or planted
Report it through the platform with evidence, and reply once, calmly, saying you have no record of the visit and inviting contact. Accuse nobody in public.

Who it is for

This is written for these IVF and fertility clinics.

  • Standalone IVF centres run by one fertility specialist
  • Multi-branch fertility chains
  • Fertility units inside a multi-speciality or maternity hospital
  • Gynaecology practices adding IUI and fertility work
  • Andrology and male infertility clinics
  • Egg freezing and fertility preservation practices in the metros
  • Centres running consultation days in district towns

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for IVF and fertility clinics

  1. 1

    Assess

We read your enquiry channels, how long couples wait for a reply, how consultations turn into tests and tests into a cycle, and where referred couples come from.

  2. 2

    Settle privacy and the rules

We agree with you and your adviser what an ad, a post or a message may say, and who may hold patient numbers, before anything goes out.

  3. 3

Fix the reply and the record

One clinic number, a coordinator's routine, and an enquiry record that follows a couple from the first message to a treatment decision.

  4. 4

Build the pages and the profile

Treatment and diagnosis pages reviewed by your doctor, a complete Maps listing for each centre, and content in the languages your couples speak.

  5. 5

Bring couples in and stay in touch

Search, referral work with gynaecologists and careful advertising for the treatments with room, with follow-up that stops when a couple asks it to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Are we allowed to ask IVF patients for a review?
Asking for an honest review is acceptable; offering anything in return, or asking only the happy couples, breaks platform policy and medical ethics. Check the current position with your adviser, make every request optional and private, and accept a no.
A couple reviewed us in Kannada. Should we reply in English?
Reply in the language they wrote in, so they and others reading in that language understand you. Keep Kannada and Hindi versions of your standard replies, checked by someone fluent, so the tone stays warm.
A review names one of our doctors unfairly. Can the doctor reply?
Reply from the clinic account, not the doctor's own, and keep the doctor's name out of it. The doctor can agree the wording. A personal reply from an upset doctor reads badly to every couple who finds it.
Can we ask a happy couple to post their story on our page?
Only with written consent for that exact use, and only if they offer first. A story that implies a result is an outcome claim, which the advertising rules for doctors restrict. Their words on their own account are a different matter from your clinic publishing them.
Can an IVF clinic advertise its success rate?
Treat it as a no. Rules on medical advertising restrict outcome claims, and a published rate invites comparisons that rarely compare like with like. Let the doctor discuss results in the consultation, against the couple's own age and diagnosis, and check any wording with your own council or adviser.
Is there a law that applies to fertility clinics specifically?
Yes. Assisted reproduction clinics and banks in India are registered and regulated under their own law, separate from the general rules on medical advertising, and it is strict on donors, records and consent. We do not interpret it for you, so your registration, any donor programme and your advertising wording go past your legal adviser first.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
