Physiotherapy clinics · CRM

Nobody in the clinic can say how many patients are halfway through a course.

A CRM for a physiotherapy clinic records the enquiry, the condition, who referred the patient, how many sessions were advised and how many have been attended. It is not the clinical file. GullySales sets up that record so the desk can see who is mid-course, who lapsed and which surgeon sent them.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For physiotherapy clinics

Where it usually goes wrong, and what we would do.

  • “Sessions advised against sessions attended is the number the clinic runs on”

A patient told to come twelve times who has come four is the whole business problem in one line. Most clinics cannot produce that list, because attendance sits in an appointment diary and the advice sits in a therapist's notes.

  • “The referring doctor's name belongs on the enquiry record”

Without it you cannot tell whether the orthopaedic surgeon in the next building has sent you two patients this year or twenty, and you cannot tell when he quietly stops. That is a field on the enquiry, not a memory in the reception.

  • “Keep the marketing record separate from the clinical file”

A patient's diagnosis, scans and treatment notes do not belong in a system your front desk uses for reminders. Hold only what the desk needs, and take advice on handling health information, because rules on it differ and change.

What we do

What we deliver for physiotherapy clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. One enquiry record for calls, walk-ins and messages

Every enquiry logged once with the condition area, the source and the outcome, whether it came by phone, WhatsApp or the door.

Result: The desk can see a returning patient instead of starting again.

  2. Sessions advised and sessions attended, held together

A field for the advised course length against attendance, so a patient who has dropped behind shows up on a list rather than disappearing.

Result: You can see who is mid-course today.

  3. Referral source recorded on every patient

The referring surgeon, physician, gym or patient recorded at the first contact, with a view of referrals by source.

Result: You know which doctor is sending patients and which has stopped.

  4. A home-visit view with area and timing

Home-visit patients held with locality, preferred slot and the family contact who arranges the appointment, so routing and reminders work.

Result: Home visits are planned by area instead of by phone calls.

  5. A short entry routine for the front desk

Four fields at the end of each call, agreed with your reception staff so it is quick enough to do during a busy evening.

Result: The record stays complete on the days the clinic is full.

  6. Health information handled with care

Guidance on what is kept in the enquiry record and what stays in the clinical file, with access limited to the people who need it.

Result: Patient information is not spread across the clinic's phones.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At the end of the term

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for physiotherapy clinics

  1. 1

    Assess

We look at your referral relationships, reply time, course completion rate, and whether your website has a page for each priority condition.

  2. 2

    Fix the response

A fast reply routine on phone and WhatsApp, with session reminders that reduce missed appointments.

  3. 3

    Build condition pages

A page per priority condition, naming therapist specialisation and what a typical course involves.

  4. 4

    Bring patients in

Local search, a referral programme with surgeons and doctors, and outreach to companies for workplace ergonomics.

  5. 5

    Retain and complete the course

Course completion tracking, a rebooking call for any missed session, and a review ask once the course is finished.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

We already have clinic management software. Do we need anything else?
Usually not a second system, but it has to answer two questions most appointment software does not: who referred this patient, and who has fallen behind the advised course. If your software can hold those two fields, use it.
Can we store patient details in a general-purpose CRM?
Keep the identifying clinical detail out of it. Condition area and session count are enough for reminders and follow-up. Rules on storing health information differ and change, so take your own advice before putting anything more into a marketing system.
Home-visit apps promise a physiotherapist within the hour. How do we compete?
Not on speed. An app wins the one-off visit. You win the full course, so the page and the call have to name the therapist, the condition and what a course involves. The app cannot send the same physiotherapist back on Thursday, and your clinic can say who is coming.
Should our pages say how many sessions a condition takes?
Give a typical range written by your own physiotherapists, and say the assessment decides it. A patient who expects eight sessions is less likely to stop at three. It also answers the question most callers ask first.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
