Physiotherapy clinics · Follow up systems

Ring the patient on the day she misses session four, not the week after.

Follow-up in a physiotherapy clinic is the call after a missed session, the reminder that stops a no-show, and the enquiry that arrives at nine at night from somebody who cannot straighten their back. GullySales writes what is said at each of those moments and who is responsible for it.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

A pneumatic tube station on a panelled department-store wall: five brass tubes dropping from the ceiling to their hinged terminals, a wire basket slung under one of them with a carrier capsule just landed in it and the flap still open, a rack of spare capsules, a call bell on a bracket, a pressure gauge and a plain clock with no numerals

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For physiotherapy clinics

Where it usually goes wrong, and what we would do.

  • “A missed session is the end of the course unless somebody calls that day”

A patient who does not turn up on Wednesday and hears nothing has quietly decided to stop. A call the same afternoon, offering a slot rather than asking why, brings most of them back. A call the following week reaches somebody who has already moved on.

  • “The reminder the evening before is the cheapest thing your desk does”

A working patient who booked a seven o'clock slot last Friday has forgotten it by Thursday. A short message with the time and the therapist's name turns a gap in the schedule back into an attendance.

  • “The referred patient who never arrived is invisible to everyone”

The surgeon handed over a chit, the patient went home and never called. The surgeon assumes the rehab is happening and you do not know the name. A standing arrangement with the referring clinic, with the patient's consent to be contacted, closes a gap nobody is watching.

What we do

What we deliver for physiotherapy clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A same-day call for every missed session

A short script for the front desk, used the same day, that offers a replacement slot rather than asking the patient to explain themselves.

Result: A missed Wednesday does not become the end of the course.

  2. An appointment reminder that goes out before the session

A message the evening before carrying the time, the therapist's name and what to bring or wear, sent from the clinic number.

Result: Fewer empty slots in the evening block.

  3. A re-engagement conversation for patients who stopped mid-course

A written approach for the patient who left at session three, opening with how the pain has been rather than with the sessions owed.

Result: A lapsed patient is invited back as a clinical matter, not chased for money.

  4. An after-hours route for the acute enquiry

A way to capture the nine o'clock call or message from somebody in pain, with a booking option and a clear statement of when a therapist will speak to them.

Result: The patient in acute pain is not lost to whoever answers first.

  5. A stop rule and a recorded reason

The number of contacts after which a lapsed patient is left alone, with the reason noted: recovered, cost, distance, or moved to another clinic.

Result: You know why courses end early instead of assuming it is price.

  6. Wording checked against advertising restrictions

Follow-up messages written to avoid claims about outcomes, since rules on how a clinic may communicate with patients differ and change.

Result: The reminder does nothing your council would question.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At the end of the term

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for physiotherapy clinics

  1. 1

    Assess

We look at your referral relationships, reply time, course completion rate, and whether your website has a page for each priority condition.

  2. 2

    Fix the response

A fast reply routine on phone and WhatsApp, with session reminders that reduce missed appointments.

  3. 3

    Build condition pages

A page per priority condition, naming therapist specialisation and what a typical course involves.

  4. 4

    Bring patients in

Local search, a referral programme with surgeons and doctors, and outreach to companies for workplace ergonomics.

  5. 5

    Retain and complete the course

Course completion tracking, a rebooking call for any missed session, and a review ask once the course is finished.

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

  • A baseline before anything starts

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is it appropriate to chase a patient who has stopped coming?
A clinical check-in is reasonable and welcome. A sales call is not. Ask how the pain has been since they last came and offer an assessment, and keep any claim about results out of it. If you are unsure how far you may go, your council or association is the place to ask.
How many reminders should a patient get before an appointment?
One the evening before is enough for most clinics, with a second on the morning of a first visit. More than that and patients stop reading them, which costs you the one reminder that mattered.
Home-visit apps promise a physiotherapist within the hour. How do we compete?
Not on speed. An app wins the one-off visit. You win the full course, so the page and the call have to name the therapist, the condition and what a course involves. The app cannot send the same physiotherapist back on Thursday, and your clinic can say who is coming.
Should our pages say how many sessions a condition takes?
Give a typical range written by your own physiotherapists, and say the assessment decides it. A patient who expects eight sessions is less likely to stop at three. It also answers the question most callers ask first.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
