What to record, and when

What a real estate team should record about every buyer enquiry, and whether software is needed yet.

Source, spelled the same way
Record the portal, hoarding, Google ad, broker or walk-in behind each enquiry, from a fixed list. Without it you cannot say which spend produced a site visit.
Time of enquiry and time of first call
Log when the enquiry arrived and when the first call was made. A long gap shows on the record, and so does the executive who causes it.
Unit shown and unit held
Note the tower, floor and unit shown, and any unit held for a buyer with the token date and its expiry. Two executives holding the same unit is avoided by writing it down.
Loan and documents position
Record the lender, the sanction stage and whether the buyer's papers are complete. A buyer waiting on a loan is a booking to plan for, not a lost enquiry.
Reason lost or put on hold
Mark price, location, possession date, loan refusal or a rival project. Group the reasons before the next launch, when the brochure and the price list are still open to change.
Do you need software yet?
A sheet works for one broker with a handful of buyers. A developer with several executives, partners and a site office needs a shared CRM from the start, because the pipeline leaves with whoever owns the sheet.

Our executives keep buyers on their personal phones. How do we stop it?
Move the enquiry numbers onto a company line and make the record the only place a site visit can be booked from. Then pay incentives against what is in the record. Executives follow whatever the incentive follows, which is why a rule on its own never works here.
Do we need a real estate specific CRM?
Only once inventory, channel partner registrations and payment schedules have to sit together. Below that, a general system with the right fields does the job. Decide by whether you are losing bookings to commission disputes and double-sold flats, not by a feature list.
Can walk-ins at the site office be recorded without slowing the queue?
Use a one-page form on a tablet, or a QR code the visitor scans, asking only name, number, configuration and source. The executive adds the rest after the visit. A short form at the door gets filled in, a long one is skipped.
How should leads from property portals be handled in the record?
Bring each portal lead in as an enquiry with the portal named as the source, and check whether the number is already on file. A buyer who arrives through a portal and a broker is one buyer, and your first-touch rule decides who owns it.
Do you work with individual brokers or only developers?
Both. A developer usually needs project pages and a sales CRM; an independent broker usually needs a stronger local search presence and a faster WhatsApp reply routine. The audit tells us which.
Can you help us track broker performance?
