Real estate developers and brokers · Follow up systems

He enquired at eleven and three other projects rang before you did.

A follow-up system in real estate settles what happens to a portal lead nobody rang, a site visit that got no call afterwards, and a buyer waiting on his loan. Speed at first contact and patience across the months after it are two different jobs. GullySales writes both and puts a date on every live enquiry.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For real estate developers and brokers

Where it usually goes wrong, and what we would do.

  • “A portal lead has a shelf life measured in minutes”

The same enquiry went to three projects. Whoever rings first books the site visit, and by morning the buyer has already agreed to see somebody else's flat on Sunday.

  • “The call after the site visit is the one nobody makes”

The executive who showed the flat assumes the buyer will ring. The buyer is waiting to be persuaded. A call the next day, asking what the family thought, moves more bookings than any offer.

  • “A buyer stuck on a loan needs a different kind of chase”

He is not undecided, he is stuck, and he will not say so. Check what the bank told him, introduce another banker, and agree when to speak again.

What we do

What we deliver for real estate developers and brokers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A first-response rule with a named owner per shift

Portal, website, hoarding number and WhatsApp each assigned, with the callback made while the enquiry is still warm.

Result: Yours is the first call the buyer takes.

  2. A post-visit call fixed into the process

Who rings after a site visit, what is asked, and what is recorded about the family's objections.

Result: The visit becomes a conversation rather than an ending.

  3. A route for the buyer stuck on a loan

Eligibility checked, two bankers ready to introduce, and a date agreed for the next conversation.

Result: A stuck buyer stays in the pipeline.

  4. A chase that carries news

A slab cast, an approval received, a price revision coming, or a show flat opened, used as the reason to ring.

Result: The buyer takes the call because something changed.

  5. A stop rule, and a revisit list

When the team stops chasing, and when a cold enquiry comes back, because a buyer who could not afford it last year sometimes can now.

Result: Old enquiries get worked instead of deleted.

  6. A loss reason on every closed enquiry

Price, possession date, locality, loan or bought elsewhere, recorded so the pattern shows against the baseline taken before the work started.

Result: You learn what the project is really losing on.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for property sales

Each portal lead, site visit and loan-pending buyer has a named caller and a recorded next step.

Portal lead received
The executive on shift rings the buyer while the enquiry is fresh, asks the locality, budget and BHK, and records which portal sent it.
Site visit booked, buyer did not turn up
Ring that evening to ask if another time suits and whether they want the location shared again. Mark the visit as missed and the reason given.
Visited, no decision
Ring the next day and ask what the family thought, which unit they liked and who else has to approve. Log the objections in the buyer's own words.
Home loan in process
Ask which bank, the stage of sanction and the documents pending. Offer the builder's panel bank contact and record the date the sanction is expected.
Broker or channel partner brought the client
Tell the partner what happened after the visit and what the buyer asked. Record who owns the client so two people do not chase.
Buyer says it is too early
Ask what they are waiting for, such as a sale, a possession date or a school admission. Set a reminder around that event and close the lead if they ask you to.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for real estate developers and brokers

  1. 1

    Audit the enquiry funnel

We check how fast a portal or website enquiry gets a call back, how site visits are booked, and where leads from brokers and walk-ins are recorded today.

  2. 2

Build the locality and configuration pages

A page for each project by locality and configuration, with RERA details, real photographs and a clear price band, so the project appears for the exact search a buyer types.

  3. 3

    Fix the response time

A same-day callback routine and a WhatsApp reply script for the sales office, so an enquiry at any hour gets a human response before the buyer moves on.

  4. 4

    Bring in qualified visits

Portal listings, Google Ads for the locality and configuration, and a broker referral process, aimed at bookable site visits rather than form fills.

  5. 5

    Track every lead to registration

One CRM record for portal, broker and walk-in leads, so the sales head can see which channel is producing bookings, not just enquiries.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How fast should we call a portal lead?
While the buyer is still looking at the portal, if you can manage it. Give each shift a named owner rather than writing a rule nobody answers for. A short call that books a site visit beats a thorough one an hour later.
Our executives say the leads are junk. Are they?
Some are, and the record will tell you which source. But a lead nobody rang for a day looks exactly like a bad lead by the time anyone reviews it. Record callback time by source first, then judge the source.
Should we keep calling buyers who say they will think about it?
Call again once with something new, such as an updated plan, a unit that has opened or a loan offer from the panel bank. If the buyer repeats that they are waiting, note the event they named and ring only around it.
How should a broker follow up when a developer's team also calls?
Tell the buyer which of you will be their point of contact, then share the same information. Ask the developer's sales team who owns the lead and record it, so the buyer receives one voice and no one is chased twice.
Do you work with individual brokers or only developers?
Both. A developer usually needs project pages and a sales CRM; an independent broker usually needs a stronger local search presence and a faster WhatsApp reply routine. The audit tells us which.
Can you help us track broker performance?
Yes. Every broker-sourced enquiry is logged against the booking it produces. You see which broker relationship is worth the commission, and which one only sends names.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
