Hospitals · Customer retention
The family that had a baby here should not go elsewhere for the child.
Retention for a hospital is a family staying with you across departments: the maternity patient who later needs paediatrics, the cardiac patient due for review, the annual health check that quietly goes to a diagnostic chain. GullySales sets up the record and the reminders that keep those families with your hospital.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means
Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For hospitals
Where it usually goes wrong, and what we would do.
“A hospital does not want repeat admissions, it wants the family”
Nobody hopes a patient comes back for the same operation. The retention worth having is the household choosing you for the next thing: a child's fever, a parent's knee, a health check before a visa.
“The review appointment nobody reminds anybody about”
A patient discharged after a cardiac event is given a date and told to come back. Plenty do not. A call from the department naming the doctor and the date is the simplest retention a hospital owns.
“Health check packages are where families quietly leave”
The annual check is bought on convenience and a clear rate, so it goes to the diagnostic chain with a number on a hoarding. A hospital that treated the family last year and never told them the rate loses it without a fight.
What we do
What we deliver for hospitals.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
A record built around the family, not the episode
The household linked together with the departments used and the date of last contact, so paediatrics knows this is last year's maternity family.
Result: The hospital sees a family instead of separate admissions.
Review appointment reminders from the department
The call or message before a scheduled review, naming the doctor and the date, with somebody answerable for whether it was made.
Result: Follow-up appointments are attended rather than forgotten.
A health check offer to people you have already treated
The packages, the rate and what is included, sent with consent to families who used the hospital, before they start looking around.
Result: The annual check stays in the building.
A discharge conversation that sets up the next contact
Review dates, physiotherapy, diet advice and who to ring, given in writing at discharge instead of said at a busy counter.
Result: The family leaves knowing when they will hear from you.
Consent and preferences recorded once
Whether the patient agrees to be contacted, on which number, about what, and how to stop it.
Result: Contact stays inside what the family agreed to.
A measure of who came back
Families who used a second department, review appointments attended and health checks booked by past patients, against the baseline recorded before the work starts.
Result: Retention becomes a number rather than an impression.
How the result is measured
- Retention rate
- Repeat purchase rate
- Customers won back
Recorded as a baseline before work starts, so every later report has an honest comparison.
Work it out from your records
Your registration and billing records can show which families came back and which departments they used.
- Families linked by phone number
- Link patient records by shared phone number or address into families. Count the families that have used more than one department, such as maternity and later paediatrics, against those that used one.
- Review appointments advised and kept
- For each department list the patients advised to return for review, and mark who came. Missed reviews are a care matter first, so the department head should see the list.
- Delivered here, child seen elsewhere
- From maternity records, list mothers who delivered with you and check whether the child was later seen in your paediatrics. A family that goes elsewhere for the child is the retention gap.
- Health check takers who were past patients
- Compare health check bookings with your list of past patients. Those who took the check somewhere else are visible only if you ask, so ask at the next visit.
- Discharges with a follow-up booked
- At discharge note whether a review or follow-up was booked before the patient left. Those with nothing booked are the likeliest to be lost to the next doctor they see.
- Complaints and feedback closed
- List complaints and written feedback and mark which were answered and closed. A family with an open complaint should not receive any other message until it is settled.
Who it is for
This is written for these hospitals.
- Multi-speciality hospitals
- Single-speciality hospitals, maternity, orthopaedic or eye
- Nursing homes
- Day-care surgery centres
- Corporate hospital chains with several branches
- Diagnostic-centre-led hospitals
- Hospitals attached to medical colleges
- Government-empanelled private hospitals
Not for
It is not the right fit if.
- You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
- You need enquiries by next week and have nobody to answer them.
- You want posts and reach reported, not enquiries and orders.
How it works
From your first message to the first report.
No open-ended retainer. Every step gives you something in writing.
First
Your brief
You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.
After the brief
A conversation and a written scope
We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.
Before work starts
Baseline recorded
Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.
After the baseline
The first fix goes live
The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.
As agreed
Report against the baseline
What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.
At renewal
Renew on the numbers
The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.
How the customer retention work runs
- 1
Assess current retention
A first read of current retention rate, existing tactics and where they are or are not coordinated.
- 2
Build the strategy
A written plan developed covering priority segments, touchpoints and a measurable target.
- 3
Align existing tactics
Current retention activities mapped against the strategy and adjusted to work together rather than independently.
- 4
Track toward the target
Retention tracked against the goal, with the strategy adjusted as results come in.
Proof
What happened when owners fixed this.
Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Nanda Arthritis and Rheumatology Center

- What we did
- A website for patients
- Search work
- Google Business and reviews
- Lead capture and advertising
- Result
- No numbers were recorded for this engagement. The work is described in full in the case study.

Why us
Why owners pick GullySales over an agency.
Marketing and sales, as one job
Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.
The person on the first call does the work
No account managers in between. You are never handed to someone you have not met.
A baseline before anything starts
Your numbers are written down on day one, so every later report compares against something honest.
The fee in writing, split three ways
Our time, your media spend and production on separate lines. You always see what goes to us.
No guarantees we cannot keep
The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.
