Hospitals · WhatsApp marketing

Families send the prescription photograph to whichever number they have.

WhatsApp in a hospital is where an enquiry arrives as a photograph of a prescription, where an appointment is confirmed and where a family asks what a procedure will come to. It also carries health information, so it needs rules. GullySales sets up the business account and the saved replies, and settles the privacy question first.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

Last updated 5 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For hospitals

Where it usually goes wrong, and what we would do.

  • “A photograph of a report is health information”

Families will send a scan, a prescription or a discharge summary to any number they can find. Decide which number receives them, who can open that phone and what is deleted, with your compliance adviser, before the number goes on a hoarding.

  • “What families ask on WhatsApp is cost, panel and timing”

Is my insurer on your panel, what does a normal delivery come to, is the orthopaedic surgeon in on Saturday. Saved replies for those three answer most of the traffic, and none of them is medical advice.

  • “Broadcasting health content is where a hospital gets into trouble”

Advertising rules restrict what a hospital may claim about treatment, and a forwarded health tip is still an advertisement. Keep broadcasts to camp dates, department timings and appointment logistics, with the wording checked.

What we do

What we deliver for hospitals.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business account for the hospital

The hospital number, the address, department timings, a greeting message and a menu that routes an enquiry to the right desk.

Result: A family reaches the right department without three transfers.

  2. Saved replies for the three questions that dominate

Insurance panel and cashless, an indicative cost for common procedures, and consultation timings by doctor, written to stay clear of medical advice.

Result: Most messages are answered without a doctor's time.

  3. A privacy rule for what arrives in the chat

Which number receives reports, who may open the phone, what is copied into the hospital system and what is removed, agreed with your compliance adviser.

Result: Health information stops sitting on a personal handset.

  4. Appointment confirmations and reminders

The date, the doctor, the department and what to bring, sent on booking and again before the appointment, with consent recorded.

Result: Fewer families arrive on the wrong day or without documents.

  5. An emergency line kept clear of marketing

The ambulance and emergency number published where people look, with a standing rule that nothing is ever broadcast from it.

Result: An emergency caller is not competing with a camp announcement.

  6. Broadcast wording your adviser has approved

Camp dates, department timings and health check availability, written without treatment claims and sent only to numbers that agreed to hear from you.

Result: The hospital uses the channel without a compliance argument.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

Settle these before WhatsApp carries a patient message.

A privacy decision from your own advisers
Have your legal or compliance adviser decide what health information may travel by chat, to whom, and what must go through the counter or portal. Write it down.
Consent at registration or admission
Add WhatsApp permission to the registration form with the number and who the patient authorises to receive messages: the patient, an attendant or both.
Billing and TPA queries
Decide what the chat may say about estimates and insurance pre-authorisation, and whose name stands behind a figure. A figure on chat is read as a promise.
Approved wording and templates
Reminders and follow-up messages need wording your medical and legal advisers have approved, and may need WhatsApp's approved templates. Check WhatsApp's current business policy and pricing.
Advertising rules for hospitals
Rules for advertising by hospitals and doctors differ by state and body and change, so check with your own council before any broadcast about a camp or a package.
Who may hold the number
List the staff who handle the Business number and remove access when they leave. Keep prescriptions and reports off personal phones.

Who it is for

This is written for these hospitals.

  • Multi-speciality hospitals
  • Single-speciality hospitals, maternity, orthopaedic or eye
  • Nursing homes
  • Day-care surgery centres
  • Corporate hospital chains with several branches
  • Diagnostic-centre-led hospitals
  • Hospitals attached to medical colleges
  • Government-empanelled private hospitals

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the whatsapp marketing work runs

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send reports to patients on WhatsApp?
Many hospitals do and patients ask for it, but it is a question for your compliance adviser rather than for marketing. At minimum, decide which number sends them, confirm you are sending to the right person, keep those chats off personal phones, and record the patient's consent.
Can we run a WhatsApp campaign for a health camp?
Camp dates, timings and location are the safest thing a hospital sends, because they are facts rather than claims about treatment. Send only to numbers that agreed to hear from you, and have your medical director read the wording. We record what each campaign brought against the enquiry baseline taken before the work starts.
Can a doctor reply to a patient's WhatsApp directly?
Hospital policy decides, and doctors' teleconsultation rules apply, so check the current ones with your medical council. Personal numbers split the record and put reports on private phones. Route messages through the hospital number.
A patient sends a negative message about their care. How should we reply?
Acknowledge it, move it to the patient relations desk, and offer a call or meeting. Do not argue or give clinical details in chat. Record the message and the response against the patient file.
How soon would we see more admissions?
Fixing reply time and the referral record shows within weeks. Ranking a page for a search such as knee replacement surgeon in your town takes months.
Do we need to advertise?
Only for a department with spare capacity that needs enquiries this month. Most hospitals gain first from the reply routine and the profile, which cost nothing extra.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
