Manage the front desk and the TPA desk against enquiry numbers, not a feeling.

Sales management for a hospital means running the front desk and the TPA desk against a weekly record of enquiries received, answered and converted by department. GullySales sets up this record and reviews it with the administrator so decisions rest on what actually happened last week.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales management means

Sales management is the ongoing work of reviewing a sales team's pipeline, calls and targets, and stepping in on deals that are stuck. GullySales sets the review rhythm and the reports a sales manager needs to run this without relying on gut feel.

For hospitals

Where it usually goes wrong, and what we would do.

  • “Each department needs its own weekly number”

Maternity and diagnostic enquiries behave differently, and combining them into one total hides where the real problem sits.

  • “Count the calls the front desk missed, by hour”

A week's count split by the hour shows whether the evening shift is short-staffed or the phone is simply being left to ring.

  • “The TPA desk needs its own conversion tracking”

How many cashless approvals were requested against how many admissions followed shows whether the desk is a bottleneck.

What we do

What we deliver for hospitals.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A weekly enquiry record by department

A weekly record of enquiries received, answered and converted, broken out by department instead of one combined total.

Result: The real problem department is visible instead of hidden inside a total.

  2. A tracked missed call count

A count of calls that went unanswered, turning a vague complaint into a specific, fixable number.

Result: Missed calls become a tracked problem instead of an assumption.

  3. TPA desk conversion tracking

A record of how many cashless approvals were requested against how many admissions followed, showing whether the desk is a bottleneck.

Result: A slow TPA desk gets noticed instead of blamed on the family.

  4. A review with the administrator

A short, recurring review of these records with the administrator, so decisions rest on the numbers, not a feeling.

Result: Decisions are made on what actually happened, not on memory.

How the result is measured

  • Target achievement
  • Pipeline coverage
  • Stuck deals resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What the administrator reviews

Read these six things in the HIS and call log before the department heads meet.

Enquiries by department
Check the call centre or front desk log by department, such as maternity, orthopaedics, cardiology or diagnostics. A department with many enquiries and few admissions needs a look at what callers were told.
Calls missed by hour
Pull the missed call list from the hospital's phone system and sort it by hour. Misses clustered at night point to a staffing gap at the help desk, not a marketing problem.
OPD patients advised admission
Compare OPD patients advised surgery or admission with the admissions that followed. Where many did not admit, ask the department coordinator to find out whether cost, the TPA or a second opinion was the reason.
Cashless approvals pending
List cashless requests waiting at the TPA desk and how long each has waited. A family left without an update takes the patient elsewhere, so give each pending file a named person who calls the family.
Referrals by doctor and lab
Read referrals by GP, clinic and diagnostic lab. When a regular referrer's patients drop, the PRO should visit and ask whether a report or a discharge summary failed to reach them.
Health check package enquiries
Check enquiries for health check packages and corporate tie-ups against bookings. A package quote with no follow-up is easily lost to the diagnostic centre across the road.

Who it is for

This is written for these hospitals.

  • Multi-speciality hospitals
  • Single-speciality hospitals, maternity, orthopaedic or eye
  • Nursing homes
  • Day-care surgery centres
  • Corporate hospital chains with several branches
  • Diagnostic-centre-led hospitals
  • Hospitals attached to medical colleges
  • Government-empanelled private hospitals

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales management work runs

  1. 1

    Assess current management practice

We look at what cadence, if any, currently exists and where it breaks down.

  2. 2

    Set the rhythm

The touchpoints are agreed and scheduled in writing before the first review.

  3. 3

    Run or coach the cadence

We either run the reviews and one-on-ones directly, or coach your manager to run them.

  4. 4

    Address performance directly

Issues are raised as they appear, not left until a review period.

  5. 5

    Report to the owner

A summary keeps ownership informed without needing to sit in every review.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

    Situation

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

What does a hospital sales manager manage?
The enquiry record, the reply time and the handover between the front desk, the doctor and the TPA desk.
Do we need a dedicated sales manager?
An administrator can hold this role once the weekly numbers are set up properly.
Which department heads should attend the enquiry review?
Invite the heads of departments whose enquiries are not turning into admissions, plus the TPA desk lead and the PRO. Keep it to those whose numbers are on the table that day. Doctors give time more willingly when the meeting is about their own patients and referrers.
How do I set targets for the PRO and the help desk without comparing us to other hospitals?
Use your own record: referrals received by doctor, calls answered by hour and admissions by department. Set the next target from where you are now. Other hospitals have different departments and catchment areas, so their figures would mislead you.
How soon would we see more admissions?
Fixing reply time and the referral record shows within weeks. Ranking a page for a search such as knee replacement surgeon in your town takes months.
Do we need to advertise?
Only for a department with spare capacity that needs enquiries this month. Most hospitals gain first from the reply routine and the profile, which cost nothing extra.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
