Hospitals · Follow up systems

The family said they would call back after speaking to the son in Dubai.

A follow-up system for a hospital settles what happens to the enquiry that did not become an admission: the family advised surgery who went home to think, the OPD caller who never booked, the night call nobody returned. GullySales names who calls back, what is said, and where every attempt is recorded.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For hospitals

Where it usually goes wrong, and what we would do.

  • “A surgery decision is made at home, not in the consulting room”

The patient hears knee replacement, nods, and then rings a cousin who is a nurse and a brother who will pay. Nobody at the hospital speaks to either of them, and the case goes wherever the relative recommends.

  • “The night call nobody returned is the one that hurts”

An emergency or ambulance line that rings out at two in the morning sends that family to whichever hospital is next on the Maps list. Work through the missed call log at daybreak, because those callers do not ring twice.

  • “The referring doctor is a follow-up, not a thank you note”

A GP who sent a patient wants to know what was found and what was done. A hospital that never closes that loop stops being sent patients, and rarely learns why.

What we do

What we deliver for hospitals.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A callback owner for every enquiry channel

The OPD line, the website form, WhatsApp and the missed call log, each given to a named person on each shift.

Result: No channel is left as somebody else's job.

  2. A missed call log worked through each morning

Every unanswered call on the hospital numbers listed overnight and returned, with the department noted against it.

Result: Emergency callers hear back instead of going elsewhere.

  3. A call to the person deciding on surgery

A conversation after the consultation with whoever is actually deciding, covering the estimate, the insurer position and what happens on admission day.

Result: The family decides on your answers rather than a relative's.

  4. A route for the TPA approval that is pending

Who chases the insurer, what the family is told while it is pending, and where the status is visible to the front desk.

Result: Nobody loses an admission to silence at the counter.

  5. The loop closed with the referring doctor

A short note on what was found and what was done, sent back with the patient's consent by a named person in the hospital.

Result: The doctor who sent one patient sends another.

  6. A stop rule, and a record kept properly

How many attempts an enquiry gets, what is written down each time, how patient details are stored and who may read them, set against the baseline recorded before the work starts.

Result: Chasing is consistent and the record stays private.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Here is what the patient desk does next for each kind of enquiry that did not become an admission.

OPD caller who did not book
The call-centre staff member rings back once to ask which department and which doctor the patient wants. Record the reason for the call and the outcome.
Family advised surgery, gone home
The patient counsellor asks which concern is holding them, such as cost, fear or a second opinion. Offer a call with the surgeon's team and record the date.
TPA or insurance approval pending
Tell the family which stage the request is at and who is handling it. Write the reference and the date you checked with the insurer.
Night call not returned
The first person in the next morning clears the missed call log. Note the caller's concern and the action taken.
Referring doctor's patient
Send the referring doctor a short update on his patient's visit, within what privacy rules allow. Record the date and the doctor's response.
Discharged patient
Make a call after discharge to ask about the recovery and the follow-up visit. Pass any concern to the treating team and write it in the record.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is it acceptable to ring a patient who enquired and did not come?
Ringing somebody back about their own enquiry is ordinary service and most families expect it. What needs care is the wording and who hears it, because health information is sensitive and advertising rules restrict what a hospital may claim. Agree the script with your medical director and keep the record restricted.
Our front desk says it has no time to follow up. What changes?
Take it off the front desk. The desk belongs to the people standing in front of it, so callbacks go to a named coordinator with a list instead of to whoever is free. Give that person the enquiry record, the department list and the TPA status, and count the callbacks made.
Who owns follow-up between the call centre and the department staff?
The call centre owns the enquiry until the patient books, then the department or the patient counsellor owns it. Write the handover on the same record, including the doctor requested and the date. This stops the patient from being asked the same questions twice.
A family says they went to another hospital. What do we record?
Record it as a closed enquiry and write the reason if the family shares it, such as location, cost or an insurer's network. Do not question the choice. Thank them, and note whether they agree to be contacted later for a check-up or health camp.
How soon would we see more admissions?
Fixing reply time and the referral record shows within weeks. Ranking a page for a search such as knee replacement surgeon in your town takes months.
Do we need to advertise?
Only for a department with spare capacity that needs enquiries this month. Most hospitals gain first from the reply routine and the profile, which cost nothing extra.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
