Hospitals · Sales process

Fix the steps between an enquiry and a confirmed admission.

A sales process for a hospital is the fixed set of steps between an enquiry and a confirmed admission. It covers who answers, what they say about cost, and how a TPA delay is handled without losing the family. GullySales writes this with the front desk and the insurance desk.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales process means

A sales process is the fixed sequence of steps, such as enquiry, site visit, quote and order, that every deal is expected to pass through in the same order. GullySales writes this sequence down for your business and checks that every salesperson actually follows it.

Last updated 5 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For hospitals

Where it usually goes wrong, and what we would do.

  • “The process differs for emergency and planned admissions”

An emergency call needs one clear next step, while a surgery enquiry needs a cost conversation and a follow-up date.

  • “The TPA step needs a defined owner”

Without someone responsible for chasing cashless approval, an admission can stall for a day with nobody clearly in charge.

  • “A discharge starts the next process, not the end”

Follow-up calls after discharge catch complications early and open the door to a review or another referral.

What we do

What we deliver for hospitals.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Written steps for each admission type

Separate, written steps for an emergency call needing one clear next step and a surgery enquiry needing a cost conversation and follow-up date.

Result: Every enquiry follows a path suited to how urgent it actually is.

  2. A named owner for the TPA step

A clearly assigned person responsible for chasing cashless approval, so an admission does not stall with nobody in charge.

Result: A TPA delay gets chased instead of sitting untouched.

  3. A discharge follow-up call step

A follow-up call built into the process after discharge, catching complications early and opening the door to a review or referral.

Result: The relationship continues past discharge instead of ending at it.

  4. A checklist review

A short, recurring review of the checklist with the front desk and TPA desk to see where it is or is not being followed.

Result: The process stays alive instead of becoming a document nobody uses.

How the result is measured

  • Deals following the process
  • Time spent at each step
  • Drop-off rate by step

Recorded as a baseline before work starts, so every later report has an honest comparison.

Steps of a sale

Take a planned surgery enquiry from the first call to the follow-up visit with a named owner at each step.

Enquiry call
Ask about the condition, the department, any reports in hand and whether the family has insurance or a government scheme card. Log the referring doctor or the source of the call.
OPD consultation
Book the consultant and ask the family to bring earlier reports and scans. Note the doctor's advice, and whether surgery was recommended, in the enquiry record.
Estimate counselling
Give a written estimate by room category, with what can change it, such as implants, ICU stay or extra days. Record the room category chosen and the questions the family asked.
TPA pre-authorisation
Collect the policy card, ID and the doctor's notes, and file the pre-auth. Record when it was sent and each reply from the TPA, and tell the family where it stands.
Admission date and pre-op
Confirm the date, the pre-op tests, fasting instructions and what to bring. Note the family member who should receive updates.
Discharge and follow-up visit
Explain medicines, wound care and warning signs, and book the follow-up OPD before the family leaves. Record that date and the referring doctor to update.

Who it is for

This is written for these hospitals.

  • Multi-speciality hospitals
  • Single-speciality hospitals, maternity, orthopaedic or eye
  • Nursing homes
  • Day-care surgery centres
  • Corporate hospital chains with several branches
  • Diagnostic-centre-led hospitals
  • Hospitals attached to medical colleges
  • Government-empanelled private hospitals

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales process work runs

  1. 1

    Study current deal flow

We trace how deals actually move today, comparing across reps and outcomes.

  2. 2

    Define the stages

Clear stages and criteria are designed to match how deals genuinely progress and close.

  3. 3

    Configure the CRM

The process is built into your CRM so it is enforced structurally, not just documented.

  4. 4

    Train the team

Reps are trained on the new process and why each stage exists.

  5. 5

    Review adoption

We check after rollout whether the process is being followed and adjust where it is not.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can a small hospital run a formal sales process?
Yes, written as a short checklist for the front desk and the TPA desk, reviewed against the enquiry record.
Does this need special software?
A shared sheet works for one hospital, and a simple CRM helps once volume or branches grow.
Who should explain the surgery cost to the family, the doctor or the billing desk?
The doctor explains the procedure and why it is advised; a trained counsellor or the billing desk explains the estimate and what can change it. Families ask money questions more freely away from the doctor. Write the estimate down and keep a copy in the file, so the final bill can be explained against it.
A family says another hospital quoted less for the same surgery. How should we respond?
Ask what the other estimate includes: room category, implant type, days of stay, doctor's fees. Packages are often built differently. Explain your own estimate on the same lines without criticising the other hospital, and note the comparison in the record.
How soon would we see more admissions?
Fixing reply time and the referral record shows within weeks. Ranking a page for a search such as knee replacement surgeon in your town takes months.
Do we need to advertise?
Only for a department with spare capacity that needs enquiries this month. Most hospitals gain first from the reply routine and the profile, which cost nothing extra.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
